Job Description Summary
The Specialist, Enterprise Quality Auditing has the following duties focused on optimizing the productivity, effectiveness and positive engagement of the Enterprise Quality Auditing Team
• To liaise with internal sites and external suppliers and members of the Enterprise Quality Auditing team (stationed in India, Dublin and USA) to organize dates and times for inspections.
• To assist with setting up travel authorizations, bookings for international travel for EQA staff.
• To assist EQA staff with expense submissions and review.
• To assist all Dublin Quality Staff with Purchase Requisitions and Purchase orders for commonly used services (SAI Global etc.).
• The collection and issue of metrics and performance data resulting from EQA operations.
• The establishment and maintenance of EQA teamworking tools.
Job Description
The Specialist, Enterprise Quality Auditing has no budgetary responsibilities or accountability for compliance performance but is a key service provider and integrator of resources demand for the Global EQA Organization and Global Quality and Compliance activities in Dublin.
Responsibilities:
Audit Organization
- Works with external and internal suppliers and EQA team members to set up audits and other visits/ meetings to meet compliance and project schedules and to maximize the efficiency of the EQA team.
- Communicates itineraries, attendees and agendas for each event.
Travel Organization
- Organizes international travel for all EQA team members.
- Communicates travel schedules to the EQA team.
- Assists with travel visa applications.
- Maintains a system that makes visible the daily location of EQA.
Procurement
- Undertakes all procurement activities for EQA and Dublin based Global Quality and Compliance team members from vendor set up to Invoice receipt in the Coupa system.
Expenses
- Assists Dublin and US based EQA staff with expense submission and follow up through the Concur system.
Metrics and General Administration
- Collects, collates and publishes metrics for EQA activities.
- Establishes and maintains EQA and Global Quality and Compliance digital teamworking and collaboration tools (Teams and SharePoints and associated applications).
- Organizes EQA team meetings, takes and issues minutes and tracks to completion actions that arise from these meetings.
