About the Role

The Special Projects Manager plays a critical role in driving high-impact, cross-functional strategic initiatives across the organization. This role sits close to executive leadership and is responsible for planning, executing, and delivering priority projects, including corporate strategy initiatives, operational improvements, and CSR programs.

Key Responsibilities

Strategic Project Planning & Execution
  • Lead end-to-end delivery of strategic and special projects, from ideation through execution to completion.
  • Translate high-level strategic objectives into clear project plans, deliverables, and timelines.
  • Design and implement project frameworks, workflows, and governance structures.
  • Apply Agile, Scrum, or hybrid methodologies to improve execution speed and flexibility.
  • Coordinate cross-functional teams to ensure alignment with business priorities and timelines.
  • Continuously track progress against milestones and adjust plans proactively to address challenges.
  • Ensure all deliverables meet quality standards, KPIs, and organizational expectations.
  • Drive execution of CSR initiatives and firm-wide transformation projects.
  • Conduct post-project evaluations to identify lessons learned and process improvements.
Stakeholder Communication & Reporting
  • Act as a central communication hub between the CEO, leadership team, and project stakeholders.
  • Prepare and deliver executive-level reports, dashboards, and presentations on project status.
  • Provide insights on progress, risks, bottlenecks, and key decisions required.
  • Ensure alignment between project objectives and organizational priorities.
  • Manage stakeholder expectations through clear, timely, and structured communication.
  • Facilitate meetings, workshops, and strategic sessions with internal and external stakeholders.
  • Escalate critical issues promptly with recommended solutions and action plans.
Risk & Cost Management
  • Identify and assess project risks (operational, financial, strategic) at early stages.
  • Develop and implement risk mitigation strategies and contingency plans.
  • Maintain and update a project risk register across all initiatives.
  • Monitor project budgets, ensuring cost discipline and adherence to financial guidelines.
  • Identify cost optimization opportunities without compromising quality or outcomes.
  • Track resource utilization and ensure efficient allocation across projects.
  • Provide financial updates and variance analysis to leadership.
Software Management & Data Analysis
  • Oversee the use of enterprise tools such as Google Workspace, Zoho One, and other collaboration platforms.
  • Ensure seamless integration of systems and tools to enhance productivity and project visibility.
  • Design and implement automated workflows and reporting dashboards where possible.
  • Collect, clean, and analyze project data to generate actionable insights.
  • Use data to evaluate project performance, identify trends, and support decision-making.
  • Leverage AI tools and analytics platforms to improve efficiency and forecasting.
  • Present data-driven insights and recommendations to the CEO and senior leadership.
Leadership & Team Management
  • Lead and manage Executive Assistants and project support staff, aligning tasks with project goals.
  • Delegate responsibilities effectively and ensure timely execution of deliverables.
  • Foster a culture of accountability, collaboration, and continuous improvement.
  • Provide mentorship, coaching, and performance feedback to team members.
  • Conduct periodic performance reviews and support professional development.
  • Drive cross-functional collaboration across departments to ensure project success.
  • Act as a role model for high performance, adaptability, and problem-solving. 


Requirements

  • Bachelor’s degree in a relevant field (Business, Law, Technology, or related discipline)

  • Minimum of 6 years’ experience in project management, strategy, or operations

  • Experience in financial services or investment environment preferred

  • Strong understanding of technology tools, AI, and process optimization

  • Proven ability to manage cross-functional strategic initiatives

  • Excellent analytical, communication, and leadership skills
