Job Summary

Carwash Superstore is a leading distributor of car wash chemicals, replacement parts, janitorial supplies, and site maintenance products. We also manufacture custom car wash equipment and provide installation and ongoing service solutions. We are seeking a detail-oriented and proactive Sourcing Specialist to manage the sourcing of parts, chemicals, Jan/San (janitorial and sanitation) supplies, and other related materials to support our warehouse distribution needs in Mansfield, Ohio.

This role focuses on identifying reliable suppliers, negotiating competitive terms, maintaining accurate item master records, and leading the item categorization project to complete our internal catalog of parts, chemicals, and supplies.

Key Responsibilities

  • Source and evaluate suppliers for car wash chemicals, replacement parts, janitorial/sanitation supplies, site maintenance products, and other materials required for distribution, manufacturing support, and service operations.
  • Conduct market research, supplier assessments, and RFQs (requests for quotes) to identify cost-effective, high-quality suppliers that meet quality, delivery, compliance, and pricing requirements.
  • Negotiate pricing, terms, lead times, minimum order quantities, and payment conditions with suppliers to achieve optimal value while maintaining strong, long-term partnerships.
  • Update and maintain item master records in the ERP system (including NetSuite) for all newly sourced or revised items; ensure accurate and complete data entry for item descriptions, specifications, units of measure, costs, pricing tiers, vendor details, lead times, safety data, and other attributes required for procurement, inventory, and sales processes.
  • Verify and collect all prevalent supplier-provided information at the time of sourcing (e.g., SDS for chemicals, certifications, material specs, packaging details, hazmat classifications, warranties) to support accurate item setup and regulatory compliance.
  • Lead and complete the item categorization project to fully build out and organize the internal catalog of parts, chemicals, and supplies, ensuring consistent classification (e.g., by category, subcategory, usage, hazmat status) for improved searchability, reporting, and operational efficiency.
  • Collaborate with the Inventory Manager, purchasing team, and cross-functional departments (e.g., manufacturing, service, sales) to gather requirements, forecast needs, and align sourcing strategies with operational demands.
  • Monitor supplier performance, including on-time delivery, quality issues, and cost stability; escalate concerns and recommend alternatives or improvements as needed.
  • Support cost-reduction initiatives by analyzing spend, identifying opportunities for consolidation, alternative sourcing, or bulk purchasing while ensuring supply continuity.
  • Assist in resolving supplier-related issues, such as discrepancies in orders, returns, or quality concerns, in coordination with receiving, inventory, and quality teams.
  • Stay informed on industry trends, market pricing for chemicals/parts/Jan-San, regulatory changes (e.g., chemical handling, environmental standards), and supplier innovations to enhance sourcing decisions.
  • Contribute to procurement reporting, including supplier scorecards, savings tracking, and item master/categorization audits to support data-driven improvements.
  • Ensure all sourcing activities comply with company policies, safety regulations, and relevant standards (e.g., OSHA/EPA for chemicals).
Qualifications

Qualifications and Skills

  • Bachelor's degree in Supply Chain Management, Business Administration, Procurement, or a related field (preferred); equivalent experience considered.
  • 3+ years of experience in sourcing, purchasing, or procurement, ideally in distribution, manufacturing, or industrial supply environments (experience with chemicals, parts, janitorial supplies, or similar products is highly desirable).
  • Experience or familiarity with item categorization and classification systems for building/maintaining comprehensive internal catalogs of parts, chemicals, and supplies.
  • Strong understanding of supplier evaluation, negotiation, and relationship management.
  • Proficiency with ERP systems for item master maintenance and procurement processes; familiarity or experience with RF Smart and NetSuite is a plus.
  • Excellent attention to detail for accurate data entry, record-keeping, and project completion in item masters and categorization efforts.
  • Knowledge of supply chain best practices, including cost analysis, lead time management, and compliance with hazardous materials regulations.
  • Strong analytical, organizational, and communication skills to collaborate across teams and with external suppliers.
  • Ability to manage multiple sourcing projects and initiatives in a fast-paced environment.
  • Certifications such as CPSM (Certified Professional in Supply Management), CSCP, or relevant procurement training are a plus.

Compensation and Benefits
