To function as the primary client liaison and lead for assigned programs. Negotiates critical program components based on knowledge of client requirements from initial request through contract completion and turnover; this includes recommending supplier and destinations options and solutions. Proactively negotiates prices and contracts and creates reasonable preliminary budgets. Communicates with the Client and suppliers on a timely basis, information relative to program operations. Follows standard operating procedures for all sourcing activity.Primary Responsibilities
What You’ll Be Doing
Develop and implement program and negotiation strategies to achieve best pricing and enhancements with suppliers
Gather information to source and place events, initiate RFPs, and secure room blocks and logistics
Negotiate and confirm program components with suppliers, review contracts for accuracy, and ensure legal protections
Track supplier option dates, follow up with team members, and provide documentation at sale notification
Advise teams and clients on deposit requirements, secure payments, and maintain accurate forecasting and budget updates
Keep records of tentative, sold, and canceled programs in management systems, ensuring compliance with policies
Provide leadership to project teams, maintain client communication, and manage VIP or complex requests
Conduct additional negotiations to improve costs, profitability, and terms while achieving benchmarking metrics
What You’ll Bring
College degree
Minimum of 5 years in project, event, or meeting management, with at least 2 years negotiating supplier contracts for venues and hotels of different sizes, domestically and/or internationally
Experience in hotel buying, preferably in Association and Tradeshow market, as well as strong knowledge of program/event budget maintenance.
Knowledge of travel supplier operations, overall capabilities/range of services.
Proven negotiation skills and success in building client and supplier relationships.
Knowledge of domestic hotels and destinations for citywide events.
Ability to manage multiple projects and demands effectively
Strong analytical skills and aptitude for technology/software solutions
Nice To Have
Program management system experience, especially with online sourcing tools
Working Logistics & Things You Should Know
This is a Remote role (onsite expectations to be defined by the company)
Requires up to 10% travel worldwide for client site inspections (air, boat, rail, or car)
During emergencies, you’ll provide guidance and leadership to ensure client and participant’s safety
