About the Role

The Sourcing Contract Administrator works in close partnership with the Senior Sourcing Manager, who owns commercial strategy development, negotiation of long-term supplier agreements, and placement of high-dollar-value purchase orders. Where the Sourcing Manager sets the strategic and contractual foundation, the Sourcing Contract Administrator serves as the fulfillment coordinator responsible for executing and administering those agreements and purchase orders day to day. This role ensures the timely delivery of supplied product, manages supplier defect and quality issues (including coordinating the return of nonconforming material), and maintains the operational integrity of the supply base once agreements are in place.

Responsibilities

  • Agreement & PO Administration: Administer executed long-term agreements (LTAs) and purchase orders on behalf of the Sourcing Commercial Leader, ensuring terms, pricing, and delivery schedules are accurately reflected and maintained in ERP/procurement systems. Process PO amendments, change orders, and pricing updates.
  • Order Tracking & Fulfillment: Monitor open purchase orders and supplier order books to track delivery status, confirm acknowledgments, and proactively resolve schedule risks before they impact production or inventory. Coordinate with suppliers on order fulfillment (expediting or de-expediting).
  • Supplier Communication: Serve as the primary operational point of contact for day-to-day supplier communication regarding order status, shipment tracking, and delivery confirmations.
  • Defect & Quality Resolution: Identify, document, and manage supplier defect and nonconformance issues, including initiating RMAs (Return Material Authorizations) and coordinating physical returns, replacements, or credits. Partner with Quality, Receiving, and Materials/Planning teams on SCARs and quality holds.
  • Performance Tracking & Escalation: Track supplier performance metrics (on-time delivery, defect/return rates, responsiveness) and report trends to the Sourcing Commercial Leader. Escalate significant supply disruptions, recurring quality issues, or compliance concerns in a timely manner.
  • Cross-Functional Support: Support invoice discrepancy resolution with Accounts Payable for pricing or quantity mismatches. Assist with supplier onboarding and master data maintenance tied to active agreements. Maintain audit-ready records.
  • Other duties and projects as assigned.
Working Relationships
  • Senior Sourcing Manager - primary partner; receives negotiated agreements and PO strategy for execution. 
  • Supply Chain and Procurement Team - Collaborate and support the overall sourcing and supply chain team with sourcing strategies, and maintaining ERP data integrity.  
  • Suppliers - day-to-day operational point of contact for order and delivery management.
  • Quality Assurance - collaborates on defect resolution, returns, and corrective actions. 
  • Materials/Production Planning - aligns delivery schedules with demand and inventory needs.
  • Accounts Payable - resolves invoice-to-PO discrepancies.
Required Experience
  • Associate's or Bachelor's degree in Business, Supply Chain Management, Operations, or a related field, or equivalent combination of education and experience. 
  • 5+ years of experience in procurement, contract administration, purchasing, materials management, or supply chain coordination. 
  • Working knowledge of purchase order lifecycle management, contract terms, and supplier fulfillment processes. 
  • Experience with ERP/procurement systems (e.g., SAP, Oracle, NetSuite, or similar) for order and contract administration. 
  • Strong organizational skills with the ability to manage multiple open orders, suppliers, and issues concurrently. 
  • Effective written and verbal communication skills for regular supplier and cross-functional interaction. 
  • Proficiency in Microsoft Excel and other Office applications for tracking and reporting.
Preferred Experience
  • Experience supporting or coordinating with a Commercial/Category Manager or Sourcing Leader on long-term supplier agreements. 
  • Familiarity with quality management processes, including RMA/return processes and supplier corrective action (SCAR/8D). 
  • Exposure to a manufacturing, industrial, or regulated production environment. 
  • CPSM, CPSD, or CSCP certification (or in progress).

Location + Travel The role is based in our Salt Lake Headquarters Warehouse. May require occasional onsite work in South Salt Lake R&D warehouse.
Schedule Full-Time, Salaried

Compensation $85,000 - $105,000 (Note: We have the flexibility to hire at different levels, which may impact the  corresponding pay range.)

Physical Requirements 

  • Must have the ability to safely lift and move objects weighing up to 50 lbs. 
  • Must be capable of standing, bending, and executing repetitive tasks for prolonged periods of time.
  • Ability to read, identify, observe and recognize details, color-coding and fine print at close range on associated engineering drawings.
  • Ability to don personal protective equipment to include, but not limited to, respiratory protective equipment with proper seal, coveralls, ear protection, gloves, eye protection & safety helmet. 
  • Ability to observe, detect and respond to audible and visual machine malfunction warnings.
  • Ability to communicate information so others can understand. Must be able to exchange accurate information in these situations.
  • Must report to work reliably and with the ability to use full and unimpaired skills and judgment to safely execute your job.
  • Proficiency in reading, writing, and speaking English required.
