Software Implementation Specialist (Go-Live Guardian)

RTA's software helps fleets keep school buses, ambulances, transit vehicles, and service trucks running safely every day. Every successful customer starts with a great implementation. Your mission is to guide new customers from signed contract to confident go-live by transforming messy data into clean systems, reducing uncertainty, and making sure every fleet manager feels ready—not overwhelmed—when it's time to launch.
Reporting to the Implementation Supervisor, you'll own a portfolio of non-enterprise customer implementations from signed contract through confident go-live. You'll personally clean and migrate customer data, configure Fleet360, and lead each customer through their first experience in the system so they leave feeling confident—not just completed. Training will take over deeper, role-based instruction, but building trust, reducing uncertainty, and creating momentum starts with you. This position plays a direct role in RTA's mission to help fleets succeed, one successful implementation at a time.

Specifically for this job, someone who:
- Owns a portfolio of 12 to 15 concurrent implementations at a time, keeping every phase, deadline, and open item assigned to a real owner and a real date. Nothing slides because it slipped your mind.
- Personally executes data cleanup, compilation, and migration into Fleet360 for every account. You don't hand this off. You do it yourself, every time, and you do it well.
- Spots data quality issues (missing fields, wrong formats, out-of-range values) before they become someone else's problem three weeks from now.
- Is fluent with VLOOKUP or XLOOKUP, COUNTIFS, and basic IF logic, and comfortable pulling data from a couple of different sources into one clean structure.
- Personally leads each customer through their configured Fleet360 setup before go-live. This is not a hand-off to Training. You're the first person who shows them the system in action, answers the “wait, how do I...” questions in real time, and makes sure they're genuinely comfortable before you call it done.
- Builds confidence by communicating proactively, setting clear expectations, and helping customers feel supported throughout the implementation—not just on go-live day.
- Holds the agreed scope line with customers, documents variations instead of letting them quietly expand, and knows exactly when to loop in Training for deeper, role-based instruction or Support for a technical issue versus handling it yourself.
- Notices hesitation or drift in a customer relationship early, names it out loud, and does something about it before it becomes a stalled account.
- Celebrates customer wins along the way, recognizing that small moments of progress build confidence and momentum throughout the implementation.
- Operates with an AI-first mindset, using AI to accelerate data analysis, customer communication, troubleshooting, and implementation work—while applying sound judgment to validate the results before they reach a customer. This one is not optional here.
- Communicates clearly and calmly with customers who are stressed about a system change, translating technical steps into plain language they can actually act on.
- Builds real rapport with customers, not just a project plan, so trust survives the inevitable bump in the timeline.

This Role Probably Is Not for You if...
- You need one account to focus on at a time. This role means running 12 to 15 in parallel, every week, without losing the thread on any of them.
- You'd rather hand off the data work to someone else. Cleaning, compiling, and migrating customer data is yours to do personally, every account, every time.
- You go quiet when a timeline starts slipping instead of naming it out loud. Drift left unaddressed is exactly what this role exists to prevent.
- You treat scope creep as someone else's problem to catch. If a customer's ask quietly expands and you don't document it, this isn't your seat.
- You think using AI is cutting corners, or you're waiting for someone else to figure out how it fits your job. At RTA, that's not a personality quirk. It's a mismatch with the role.
- You want your fleet background or SQL skills to carry you. Those help, and we value them, but they don't substitute for genuine project management and hands-on data execution.
- You'd rather someone else teach the customer. You are the one who walks each customer through the system and makes sure it clicks for them before go-live. If you want to configure it and disappear, this isn't your seat.
- You want to operate as a free agent. You'll report to the Implementation Supervisor and work in lockstep with Training as they take over deeper instruction after you. If you'd rather go solo, keep scrolling.
Key Results Areas (aka the Job Outcomes)
- Maintain a live portfolio of 12 to 15 concurrent implementations at any given time, with every open item assigned a real owner and a real due date.
- Hit the agreed go-live date on at least 90% of assigned accounts each quarter, flagging any at-risk timeline at least 2 weeks before it slips.
- Personally complete data cleanup, compilation, and migration into Fleet360 for 100% of assigned accounts, with zero downstream data-quality escalations traced back to migration error.
- Personally lead a system walkthrough with 100% of assigned customers before go-live, so no account reaches go-live without hands-on time in Fleet360 with you.
- Log 100% of customer scope variations in the account record within 2 business days of occurring.
- Maintain a customer satisfaction rating of 90% or higher across completed implementations each quarter.
- Put at least one new AI-assisted workflow into practice per quarter that measurably speeds up data review, customer communication, or troubleshooting.
- Complete 95% of implementation milestones by their committed due dates, ensuring clean handoffs to Training and Support.
Qualifications
OK, the boring HR part of the job posting that looks like every other posting out there, but it's necessary:
- 2+ years of experience in a customer-facing implementation, onboarding, or B2B SaaS role
- Proven ability to manage multiple concurrent accounts or projects without losing detail on any one of them
- Fleet, fleet-adjacent, or public sector operations experience preferred, not required
- Demonstrated, real-world use of AI tools to increase speed or accuracy in your work, with specific examples you can speak to
- Proficient with Microsoft 365, especially Excel, including VLOOKUP or XLOOKUP, COUNTIFS, and basic IF logic
- Comfortable consolidating data from multiple sources or tabs into one clean, accurate structure
- Comfortable leading live software walkthroughs with customers, virtual or in person, and explaining technical steps in plain language
- Excellent written and verbal communication skills
- Exposure to SQL or structured databases preferred, not required

Compensation & Work Location
- Total compensation for this role is between $85,000 and $105,000 based on experience.
- This is a hybrid role based at RTA HQ in Glendale, Arizona: in-office Monday, Wednesday, and Friday, with work-from-home eligibility on Tuesdays and Thursdays after your first 60 days.
- Travel is minimal, less than 10% annually, based on business needs.
- This position is classified as exempt and is not eligible for overtime pay.
