About the Client

An Emotional Wellbeing Specialist, speaker, author, and HeartMath Trainer. She helps individuals and organizations navigate emotional challenges, improve wellbeing, and develop greater clarity and resilience.

Her work includes grief recovery coaching, HeartMath-based wellbeing support, workplace training and development, speaking engagements, books, and an online class.

Michele is increasingly focused on expanding her workplace training and development opportunities while continuing to support her coaching clients. She has existing podcast appearances, video content, social media accounts, books, and educational products that she would like to leverage more effectively to increase visibility and generate sales.

She is looking for a proactive and collaborative Virtual Assistant who can take ownership of content repurposing and social media execution while helping her better understand digital marketing and the effective use of social media platforms.

Role Overview

The Social Media Marketing & Video Content Repurposing VA will help Michele maximize the value of her existing content by transforming podcast interviews and other available media into engaging social media content.

The VA will support content planning, video clipping and editing, social media publishing, and promotional activities designed to increase brand awareness and drive interest in Michele's books and online class.

Beyond execution, the ideal candidate will bring practical marketing knowledge, suggest improvements, and explain digital marketing concepts in a clear and approachable manner. The VA should be comfortable guiding Michele through unfamiliar platforms, particularly Instagram, at a pace that builds her confidence and independence.

This role is best suited to someone who combines content creation skills with an understanding of social media marketing and can work collaboratively with a client who prefers to focus on coaching, speaking, and training rather than managing social media herself.

Key Responsibilities

1. Video Content Repurposing and Editing

  • Review and organize Michele's existing podcast interviews, speaker appearances, and other available video content.
  • Identify compelling, educational, and relevant segments that can be repurposed into short-form videos.
  • Edit clips into engaging, platform-appropriate content for social media.
  • Add captions, subtitles, titles, basic graphics, and other appropriate enhancements.
  • Ensure that clips accurately reflect Michele's message, expertise, and professional brand.
  • Prepare video assets in suitable formats and dimensions for the intended platforms.
  • Identify opportunities to reuse existing content rather than requiring Michele to continually record new videos.
  • Maintain an organized library of source files, edited videos, and published content.

2. Social Media Management

  • Help manage and maintain Michele's existing social media presence, particularly on LinkedIn and Facebook.
  • Support Instagram content publishing and help Michele become more comfortable using the platform.
  • Develop a practical content plan and posting schedule based on her business goals, available materials, and audience.
  • Repurpose podcast clips, educational insights, speaking appearances, and other existing resources into relevant posts.
  • Write engaging captions, post descriptions, calls to action, and relevant hashtags.
  • Schedule and publish approved content using suitable social media tools.
  • Maintain a consistent and professional online presence aligned with Michele's work in emotional wellbeing.
  • Recommend realistic posting frequencies based on available resources and marketing objectives rather than posting simply for the sake of frequency.

3. Marketing and Sales Support

  • Help promote Michele's books and online class through relevant social media content.
  • Identify ways to connect educational videos and social posts with appropriate product pages, purchase links, or class registration pages.
  • Recommend calls to action that encourage interested audiences to learn more about her work and offerings.
  • Explore ways to repurpose existing content into promotional campaigns.
  • Help improve the visibility of her products and educational resources through consistent content distribution.
  • Monitor available engagement and traffic metrics to identify content that resonates with the audience.
  • Suggest practical marketing improvements to support visibility, audience growth, and potential sales.
  • Help Michele understand how content can support her business goals without relying solely on follower growth.

4. Content Planning and Strategy

  • Review existing content assets and identify opportunities for reuse.
  • Create a manageable content calendar aligned with Michele's priorities.
  • Recommend content themes, formats, and posting frequency based on the target audience and business objectives.
  • Identify potential topics and clips that highlight Michele's expertise in emotional wellbeing, grief recovery, HeartMath, workplace wellbeing, and training.
  • Suggest ways to connect educational content with her books, online class, speaking engagements, and professional services.
  • Provide regular recommendations and explain the reasoning behind proposed marketing activities.
  • Help establish a repeatable content workflow that minimizes the time Michele needs to spend managing social media.

5. Instagram Guidance and Digital Skills Support

  • Help Michele understand Instagram's main features and how the platform can support her business.
  • Provide patient, step-by-step guidance on content publishing, captions, Reels, links, and other relevant features.
  • Explain platform-specific practices in straightforward, non-technical language.
  • Demonstrate how approved content is prepared, published, and monitored.
  • Help Michele become more confident and comfortable using Instagram over time.
  • Recommend new platforms or features only when they are relevant to her goals and available capacity.

The VA should be willing to teach and explain, not simply execute tasks without context.

6. Performance Monitoring and Reporting

  • Track content production and publishing activity.
  • Monitor available metrics such as views, reach, engagement, link clicks, and audience growth.
  • Identify high-performing content and recommend opportunities for further repurposing.
  • Provide regular progress updates and summaries of completed tasks.
  • Track promotional activities and available indicators of interest in Michele's books and online class.
  • Recommend adjustments based on observed results and available analytics.

7. Communication and Collaboration

  • Maintain proactive, clear, and consistent communication with Michele.
  • Provide regular progress updates and check in frequently enough to ensure alignment.
  • Seek clarification when requirements or priorities are unclear.
  • Present content ideas, recommendations, and proposed improvements for discussion.
  • Submit content for Michele's review and approval before publishing, particularly during the initial working period.
  • Incorporate feedback and maintain an organized record of agreed changes and priorities.

Essential skills:

  • Familiarity with LinkedIn, Facebook, and Instagram.
  • Understanding of content calendars, social media scheduling, and audience engagement.
  • Basic knowledge of digital marketing principles and promotional content.
  • Ability to recommend practical ways to connect social media content with product or class sales.
  • Strong organizational skills and attention to detail.
  • Ability to work independently while communicating proactively.
  • Willingness to explain tools, processes, and marketing recommendations to a client who is still learning digital marketing.

  • Experience promoting books, online courses, coaching services, or educational products.
  • Familiarity with social media analytics and performance reporting.
  • Experience with content repurposing workflows and basic marketing funnels.
  • Familiarity with scheduling, editing, and graphic design tools.
  • Experience supporting speakers, authors, coaches, trainers, or personal brands.
  • Ability to develop content strategies that balance educational value, brand awareness, and sales objectives.

Tools and Platforms

The client has not mandated specific software. The VA may recommend and use suitable tools, subject to the client's agreement and any applicable licensing or access requirements.

Relevant platforms include:

  • Social media: LinkedIn, Facebook, Instagram
  • Video and content: Existing podcast recordings, speaker interviews, video assets, and YouTube where appropriate
  • Video editing: CapCut, Canva, Adobe Premiere Pro, or comparable tools
  • Graphics and design: Canva or similar tools
  • Scheduling and planning: Meta Business Suite or other suitable scheduling platforms
  • Communication: WhatsApp is the client's preferred communication channel
  • Analytics: Native social media analytics and other relevant reporting tools

The VA should recommend a practical, cost-effective toolset rather than introducing unnecessary software.

Ideal Candidate Profile

The ideal VA is proactive, organized, creative, patient, and comfortable making recommendations. They should be able to work independently while maintaining the collaborative communication style Michele values.

The candidate should:

  • Take initiative and suggest opportunities to improve content and marketing.
  • Be comfortable explaining digital marketing concepts to a non-specialist.
  • Communicate clearly, provide frequent updates, and welcome feedback.
  • Understand the importance of accuracy, empathy, and professionalism when working with emotional wellbeing content.
  • Respect confidentiality and handle client materials and account access responsibly.
  • Be flexible and willing to adjust the content plan based on results and client feedback.
  • Focus on practical outcomes rather than vanity metrics alone.

Working Arrangement and Expectations

  • Minimum commitment: 10 hours per week.
  • The client initially anticipates approximately 5–10 hours weekly but has agreed to start at the 10-hour minimum.
  • Work schedule: Flexible; the client is accustomed to working across international time zones and is an early-morning person.
  • Communication: WhatsApp preferred, with regular check-ins and clear progress updates.
  • Content approval: Michele would like to review and approve content before it is published.
  • Start date: To be confirmed following candidate selection and onboarding.
  • Hiring urgency: Not urgent; the client is comfortable allowing time to identify a suitable candidate.
