The Site Coordinator & Digital Transformation is responsible for driving the digitization, optimization, and continuous improvement of sit execution, and operational workflows across the Duluth facility. This role focuses on identifying inefficiencies, improving ways of working, and implementing advanced tools, including AI-based solutions, to enhance visibility, tracking, and execution.

This role owns the transformation of how programs and operational activities are managed within the Duluth facility, leading initiatives that simplify processes, reduce manual work, and improve overall efficiency. While not responsible for managing programs directly, this role works closely with Program Managers and leadership to improve execution, standardize processes, and ensure effective adoption of new tools and methodologies.

Essential Duties and Responsibilities include the following.  Other duties may be assigned.

 Facility & Office Administration:

  • Lead the improvement, digitalization, and optimization of facility and office operations by identifying inefficiencies and implementing more efficient, automated, and scalable workflows.
  • Continuously evaluate current processes and transition day-to-day activities toward more structured, efficient, and technology-driven solutions.
  • Drive the adoption of digital tools and systems to streamline administrative processes, reduce manual work, and improve visibility and control over facility operations.
  • Ensure smooth day-to-day site operations, maintaining an efficient and well-organized work environment while transitioning activities toward improved processes.
  • Coordinate with building management and vendors for facility maintenance, repairs, and upgrades, while improving tracking and process efficiency.
  • Responsible on the office supplies, inventory, and vendor relationships, with a focus on optimization and automation of ordering and tracking.
  • Support purchasing activities for facility needs, including obtaining quotes, preparing purchase requests, and tracking orders, while driving process standardization and digitalization.
  • Maintain records of maintenance activities, service requests, and site conditions, with a focus on improving data tracking and accessibility.
  • Coordinate workspace logistics, including conference rooms, office setup, and general site organization, while identifying opportunities to improve efficiency and user experience.

Site activities Essential Duties & Responsibilities

  • Lead the digitalization, optimization, and continuous improvement of processes, tracking, and reporting across site activities by identifying inefficiencies and implementing scalable, technology-driven solutions.
    Drive the adoption of advanced tools, including digital and AI-based solutions, to improve visibility, automation, and overall execution.
    • Support stakeholders in tracking goals, milestones, and overall progress, while enhancing the tools and methods used for tracking and reporting.
    • Coordinate and ensure execution of regular reviews (e.g., quarterly reviews), including preparation and follow-up on action items, with a focus on improving structure, consistency, and automation.
    • Track and monitor action items across initiatives to ensure timely closure and alignment, while enhancing tracking systems and visibility.
    • Support improvement initiatives, including the implementation of new tools, processes, and capabilities.
    • Assist in organizing and coordinating training activities and team events, while identifying opportunities to standardize and improve execution.
    • Facilitate communication and coordination between leadership and cross-functional teams, ensuring alignment and continuous improvement of collaboration processes.

Shipping & Receiving Operations:

  • Optimize and digitalize shipping and receiving processes to improve efficiency, tracking, and accuracy.
  • Coordinate incoming and outgoing shipments, ensuring timely and reliable delivery.
  • Maintain shipment tracking and serve as the point of contact with vendors and carriers.

Customer Visits & Events Coordination:

  • Lead the optimization and digitalization of customer engagement, visits, and event coordination processes by improving planning, communication, and execution workflows.
  • Implement standardized processes and tools (including digital and AI-based solutions) to enhance efficiency, visibility, and overall customer and employee experience.
  • Continuously evaluate current practices and drive improvements to create scalable, structured, and high-quality customer interaction processes.
  • Plan and coordinate customer visits, executive meetings, and site tours, ensuring a professional and seamless experience while improving execution methods.
  • Organize company events, training sessions, and workshops, with a focus on efficiency and continuous improvement.
  • Manage logistics including catering, room setup, and coordination of all required resources.
  • Serve as the main point of contact for visitors, providing front-office support and ensuring a positive customer experience.
  • Support customer communication channels and coordinate customer-related activities.
  • Support company-wide initiatives and special projects related to customer engagement and events.

Education and/or Experience

  • Associate or bachelor’s degree preferred
  • 3–5+ years of relevant experience

Computer Skills

  • Proficiency in Microsoft Office Suite
  • Experience with scheduling tools
  • Familiarity with ERP/PMO tools (advantage)
  • Develop UI Tools and Web design (advantage)

 Language Skills

  • Fluent in English, with strong verbal and written communication skills.
  • Ability to communicate effectively in a global, cross-functional, and multicultural environment.
  • Comfortable working with international teams, customers, and vendors.
