About the Role
We’re looking for an organised, proactive and customer‑focused Site Administrator to join our Birmingham site on a fixed‑term contract. This role provides comprehensive and confidential administrative support across the business, working closely with internal teams, suppliers and customers to achieve business objectives and service goals.
You’ll play a key role in supporting customer service, finance, HR and Health & Safety activities in a fast‑paced environment.
Acting as the primary point of contact for site administration, you’ll manage a wide range of day‑to‑day administrative tasks, including reporting, raising purchase orders and maintaining business systems. Reporting to the General Manager, you’ll support the smooth running of the site, providing proactive solutions to day‑to‑day team and customer demands.
You’ll also provide cover during periods of high demand, annual leave and training to ensure continuity of service. The focus of this role is to deliver world‑class customer service and support the ongoing success of the site.
Key Responsibilities: (included but not limited)
General Administration & Site Support
- Provide comprehensive, confidential administrative support across the site
- Manage day‑to‑day reporting and raise purchase orders
- Liaise with internal departments, suppliers and group companies to meet business and customer requirements
- Provide cover for team members during absence, holidays and training
- Complete ad‑hoc duties as required
Health & Safety
- Maintain site Health & Safety documentation
- Support KPI reporting and compliance with company procedures
- Promote safe working practices and escalate concerns where required
Human Resources Support
- Maintain HR documentation and support HR KPI reporting
- Support month‑end reporting
- Monitor Softworks compliance, including RTW checks and absence triggers
- Manage absence tracking and support FA, Fire and MHFA payments and refresher
Finance
- Raise and code SAP invoices
- Generate reports from local systems
- Liaise with SSC to ensure timely completion of finance activities
- Update local business systems with accurate financial data
Customer Service & Communication
- Answer incoming calls and respond to emails promptly and professionally
- Support customer service across site functions
- Escalate issues to ensure we continue to delight customers
About You
You’ll be a well‑organised and adaptable administrator who thrives in a fast‑paced environment. You’ll bring a strong customer‑service mindset, excellent attention to detail and the ability to manage multiple priorities effectively.
Minimum Requirements:
- Minimum 6 months’ experience in an office or administrative role
- Working knowledge of Microsoft Office
- SAP knowledge or experience (desirable)
- Strong communication and organisational skills
- Good attention to detail
- A proactive and flexible approach
