Job Description

Job Purpose

The Site Accountant is responsible for managing and maintaining all financial and accounting activities at the project site. The role ensures accurate recording of financial transactions, effective cost control, compliance with company policies, statutory requirements, and project budgets. The Site Accountant supports project management by providing timely financial information, monitoring site expenditures, safeguarding project assets, and ensuring proper financial documentation and reporting.

Key Responsibilities

1. Site Financial Management & Record Keeping

  • Process and record site-related financial transactions including invoices, petty cash, supplier payments, staff advances, and expense claims.
  • Maintain accurate and up-to-date accounting records for all site operations.
  • Ensure proper coding and posting of transactions in the accounting system.
  • Prepare and maintain supporting documentation for all financial transactions.
  • Perform daily, weekly, and monthly reconciliations of cash, bank, supplier, and ledger accounts.

2. Budget Monitoring & Cost Control

  • Monitor project expenditures against approved budgets and cost codes.
  • Track project costs and provide regular cost analysis reports to project management and finance teams.
  • Identify and report budget variances, cost overruns, and potential financial risks.
  • Support project teams in managing costs and optimizing resource utilization.
  • Ensure expenses incurred are properly authorized and budgeted.

3. Petty Cash & Cash Flow Management

  • Manage site petty cash in accordance with company policies and procedures.
  • Prepare cash requisitions and monitor site cash requirements.
  • Conduct regular petty cash reconciliations and ensure accountability for all cash transactions.
  • Maintain adequate controls to safeguard cash and financial assets.

4. Procurement & Supplier Management

  • Verify purchase requisitions, purchase orders, delivery notes, and supplier invoices prior to payment processing.
  • Ensure procurement transactions comply with company procedures and approved budgets.
  • Maintain supplier account reconciliations and resolve payment discrepancies.
  • Coordinate with procurement and site teams to ensure accurate documentation of purchases and deliveries.

5. Financial Reporting & Documentation

  • Prepare weekly and monthly site financial reports.
  • Submit cost reports, expenditure summaries, cash flow reports, and budget tracking reports to management.
  • Ensure all financial records are properly filed and readily available for review and audit purposes.
  • Support month-end and year-end financial closing activities.

6. Compliance, Internal Controls & Audit

  • Ensure compliance with company policies, financial procedures, and statutory requirements.
  • Maintain effective internal controls over site financial operations.
  • Support internal and external audits by providing required documentation and explanations.
  • Ensure proper authorization and documentation of all financial transactions.

7. Inventory & Asset Management

  • Maintain records of site assets, tools, equipment, and materials.
  • Support periodic stock counts and asset verification exercises.
  • Reconcile inventory records with physical stock movements.
  • Investigate and report variances, losses, or discrepancies.

8. Tax & Statutory Compliance

  • Ensure proper documentation and compliance with VAT, withholding tax, and other applicable statutory requirements.
  • Support preparation of tax schedules and reconciliations.
  • Maintain records required for statutory audits and tax reviews.
  • Coordinate with the finance department on statutory reporting requirements.

9. Stakeholder Coordination

  • Work closely with Project Managers, Site Engineers, Procurement Officers, and Finance teams.
  • Respond to financial queries from suppliers, subcontractors, and project personnel.

Provide financial information and support to assist project decision-making.

Qualifications

Qualifications and Experience Requirements

 

Education

  • Bachelor's Degree in Accounting, Finance, Commerce, or a related field.
  • CPA, ACCA, or equivalent professional qualification is an added advantage.

Experience

  • Minimum of 6 years of accounting experience, preferably within construction, engineering, infrastructure, or project-based environments.
  • Experience managing site accounts, project costing, and budget monitoring is preferred.

Skills and Competencies

  • Strong understanding of accounting principles and financial controls.
  • Knowledge of construction/project accounting and cost management.
  • Proficiency in ERP/accounting software and Microsoft Office, particularly Excel.
  • Strong analytical and numerical skills.
  • Attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Good communication and interpersonal skills.
  • Ability to work independently in a remote site environment.
  • Strong integrity, confidentiality, and professionalism.
