Shareholder Services Manager – Closed‑Ended FundsLocation: MaltaDepartment: Fund Administration
Employment Type: Full‑Time, PermanentThe RoleWe are seeking an experienced Shareholder Services Manager to support our rapidly expanding closed‑ended funds platform, covering private equity, real estate, infrastructure, and private credit structures. This role is central to delivering an exceptional investor experience while ensuring full compliance with regulatory and fund requirements.You will oversee complex investor servicing processes, manage institutional investor relationships, and lead a team responsible for the full lifecycle of closed‑ended fund operations from onboarding to capital activity.Key ResponsibilitiesClosed‑Ended Fund Operations
- Oversee investor onboarding for private equity, real estate, infrastructure, and private credit funds, ensuring compliance with LPAs, side letters, and regulatory requirements.
- Approve investor transaction documentation, including commitments, transfers, capital calls, and distributions.
- Manage the end‑to‑end capital call and distribution process, including notice preparation, payment coordination, and reconciliation.
- Ensure accurate maintenance of investor commitments, unfunded balances, capital account activity, and investor registers.
- Collaborate with Fund Accounting teams on waterfall allocations, carried interest calculations, and investor‑level reporting.
- Coordinate with the dedicated Investor Due Diligence / AML team to ensure all investor onboarding requirements are completed in line with regulatory and fund standards.
- Review investor documentation for completeness and ensure all eligibility criteria are met before approval.
- Maintain strong communication channels with the due diligence team to resolve outstanding items and ensure timely investor onboarding.
- Serve as a primary point of contact for investors, investment managers, advisors, custodians, and other fund counterparties.
- Attend and contribute to operational, client, and regulatory meetings.
- Build strong relationships with GPs and institutional LPs, ensuring timely and accurate responses to investor queries.
- Manage and mentor a team, providing ongoing coaching and performance feedback
- Support the development and implementation of departmental procedures, with a focus on scaling closed‑ended fund operations.
- Drive process enhancements to improve efficiency, accuracy, and investor experience.
- Minimum 2 years of experience in a Transfer Agency or Investor Services role, with strong exposure to closed‑ended fund structures (PE/RE/Infrastructure/Private Credit).
- Strong understanding of LPAs, side letters, capital call/distribution cycles, and institutional investor expectations.
- A‑Level standard of education or equivalent; further qualifications in finance or compliance are an asset.
- Excellent communication skills and a client‑focused mindset.
- Strong organisational skills with the ability to manage complex workflows and meet strict deadlines.
- High attention to detail and comfort working with complex fund structures.
- Proficiency in MS Office applications; experience with PFS Paxus, eFront, Investran, or similar closed‑ended systems is considered an advantage.
