PagerDuty is looking for a customer service-oriented, resourceful, personable, and extremely organized Senior Workplace Experience Specialist for our Santiago office.  In addition to taking care of our office space and the day-to-day requests that keep the workplace running smoothly, our Workplace Experience Specialists are the “face” of PagerDuty to our employees and guests. This role requires an outgoing, positive self-starter with strong attention to detail, professionalism, and superb communication skills. This role also requires someone who enjoys organizing events.

Due to the nature of the work, this role is defined as an in-office position in Santiago (5 days per week) with occasional flexibility to work from home or elsewhere on Fridays. Occasional travel to other PagerDuty offices may be required 1-2 times yearly.

The mission of the Workplace Experience Team is to deliver inclusive, inspiring, and safe workplaces that create belonging and support collaboration and community for all Dutonians. The Senior Workplace Experience Specialist at each office accomplishes this mainly through (but not limited to) the following.

Key Responsibilities:

Manages the ongoing new hire office onboarding experience and offboarding processes, and the management of same for our WeWork and Envoy accounts

Welcomes current employees traveling to the office either for the first time or from abroad, facilitating access and ensuring a positive guest experience

Maintains the relationship with our landlord (WeWork) and oversees day-to-day office operations and maintenance: addresses issues with temperature, repairs, cleaning, etc. to WeWork and ensures a clean, safe, and aesthetically pleasing office environment

Chairs the local Health and Safety committee, ensuring alignment with our global health and safety protocols

Oversees office food and beverage programs, snacks, etc., and the procurement of office supplies, furniture, fixtures, and equipment. Manages the purchasing and expense reporting for the corporate credit card

Organizes or assists with the execution of company-wide events and social impact initiatives in alignment with the global departments that initiate them (Culture and Strategy, Marketing, Social Impact, etc.), for example:

  • Monthly Company Town Halls
  • Company and Sales Kick-offs, PagerCon (an internal engineering conference) 
  • Global ERG, ESG, and Wellness initiatives

Organizes or assists with the execution of local events and social impact initiatives for the whole Santiago office, for example:

  • Volunteer Activities (alignment and support from global social impact program and methodology)
  • Social Events for the entire office as directed/approved by CSG or Workplace (happy hours, fun/culture activities)
  • CEO and ELT visits

Communicates as the “voice” of Workplace Experience to the Santiago office via Slack and Email, keeping employees informed about all the items listed above and what’s going on in the office; keeps the office Confluence (Wiki) page current

Looks for opportunities to improve upon or automate existing Workplace business processes; identifies when new processes are required and designs suggestions for them

Skills & Attributes

  • A self-starter, willing to roll up your sleeves and seek out opportunities to make continuous improvements to the office environment and our processes
  • An outgoing personality with strong customer service mindset
  • An eye for detail when it comes to office aesthetics, cleanliness and performance
  • Ability to work with minimal oversight and direction; able to intuit “what needs to be done”
  • Excellent oral and written communication skills (English and Spanish)
  • Excellent organizational and project management skills
  • A keen understanding of confidentiality and ability to deal with sensitive data
  • Experience in budgeting and managing operations to a budget

Basic Qualifications

  • Must be fluent in conversational and written English required
  • Must be able to go into the office 5 days per week in Santiago 
  • Must have 3+ years of office administration/facilities management/workplace experience, including the planning and execution of office moves, space and furniture reconfigurations, including prior experience in dealing with landlords and vendors
  • Must have prior experience with G-suite, Mac platform, Slack or other common productivity and collaboration tools
  • Experience in organizing in-house and off-site events and upon request, must be able to work occasional evenings to assist with the execution of these events.

Preferred Qualifications

  • Prior experience working at a fast-paced, high growth technology company
  • Prior experience working collaboratively in a highly distributed organization with minimal oversight 
  • Prior experience in office space search, site selection and office fit outs
