Robots & Pencils is seeking a Business Analyst (Level 4) to lead business analysis activities for a higher-education initiative focused on migrating a legacy degree audit and academic planning system to a modern cloud-based platform.
The system supports institutions in defining and managing degree requirements including credit totals, required courses, electives, and GPA thresholds, while helping students and advisors track academic progress and plan coursework efficiently.
This role will lead to the evaluation of existing configurations and customizations, guide stakeholders through complex decision-making on functionality and migration priorities and ensure a smooth transition to the new environment. The Business Analyst will collaborate across institutional, technical, and partner teams to define requirements, document processes, and enable successful deployment.
As a senior contributor, this position requires strong analytical depth, strategic thinking, and the ability to balance institutional goals with system capabilities. The Business Analyst will also play a leadership role in establishing best practices for analysis, documentation, and stakeholder engagement.
Key Responsibilities
Requirements and Analysis
- Lead discovery and analysis of current system configurations, business rules, and data structures
- Collaborate with institutional leaders to define future-state requirements and workflows
- Evaluate existing customizations to determine which are essential, redundant, or replaceable by core platform functionality
- Develop clear, detailed functional and non-functional requirements that align business needs with technical capabilities
- Facilitate structured decision-making sessions to guide stakeholders through trade-offs in functionality and complexity
Collaboration and Delivery Leadership
- Serve as the primary liaison between institutional business units, implementation teams, and technical delivery groups
- Lead requirements workshops, walkthroughs, and sign-off sessions with multiple stakeholder groups
- Oversee documentation of business processes, data flows, and configuration decisions
- Support planning, testing, and deployment activities, ensuring readiness for migration milestones and go-live
- Identify project risks, dependencies, and scope changes, and recommend mitigation strategies
Strategic Analysis and Continuous Improvement
- Assess and improve existing business processes related to academic planning and degree audit operations
- Provide recommendations for long-term system governance and process standardization
- Define success metrics and post-launch evaluation criteria
- Support change management and adoption strategies to ensure sustainability
Coaching and Mentorship
- Provide guidance to other business analysts and project contributors on documentation, facilitation, and stakeholder engagement
- Promote consistency in analysis and requirements management practices across teams
- Model a structured, data-driven approach to problem-solving and decision-making
Required Skills and Qualifications
- 8+ years of experience as a Business Analyst or Functional Consultant in enterprise or higher-education environments
- Proven ability to lead large-scale system modernization or migration initiatives
- Strong background in business process modeling, requirements elicitation, and documentation
- Experience with academic or student lifecycle systems such as degree audit, planning, or student information platforms
- Understanding of rules-based or configuration-driven systems and their impact on business logic
- Skilled in facilitating workshops and driving consensus among diverse stakeholder groups
- Experience supporting cloud migrations, testing, and deployment coordination
- Excellent written and verbal communication skills
- Upper-intermediate English proficiency for effective collaboration across distributed teams

- Familiarity with data governance, reporting, and analytics related to student success
- Understanding of academic policy, degree requirements, and curriculum management
