The Role

Position Summary 

 

The Senior Systems Specialist, Operations is responsible for designing, implementing, and optimizing Project Management Information Systems (PMIS) for PMA’s clients. This role involves leading the full lifecycle of PMIS deployment, from assessing client needs and defining requirements to configuring systems, facilitating adoption, and ensuring long-term performance. Additionally, the specialist will play a key role in business development by identifying and pursuing opportunities to expand PMA’s PMIS services. This position requires deep expertise in system architecture, data migration, and process improvement, as well as strong project management and client engagement skills. 

Organizational Responsibilities:

  • Project Management & Communication
  • Leads the project and stakeholder requirements process:
  • o Identifies current client processes. 
  • o Identifies tools, roles, and actors.
  • o Conducts gap analyses.
  • o Identifies requirements. 
  • o Recommends strategies.
  • Develops approaches to implementation during design, testing, implementation, training, and rollout.
  • Documents process, business, technical, and system design requirements.
  • Leads the translation of documented business requirements into system configuration.
  • Partners with key organizational stakeholders to understand their needs; designs/configures PMIS systems accordingly.
  • Leads utilizing project management best practices; adheres to established timelines and budgets.

  • Change Management 
  • Supports the development of comprehensive training plans and related documents (e.g., user guides, job aids, training materials, test cases, user acceptance test plan); facilitates user adoption and proficiency with new PMIS systems.
  • Develops and implements change management strategies to mitigate resistance and promote user buy-in.
  • Provides ongoing support to users after system launch and troubleshoots issues.
  • Documents project activities, milestones, and lessons learned; drafts technical and procedural documentation.

  • Systems & Data
  • Develops data migration strategies.
  • Manages data migration from legacy systems to new PMIS; verifies data integrity and accuracy.
  • Collaborates with vendors to customize system settings, workflows, and integrations that align with client requirements.
  • Escalates complex problems to appropriate client and vendor departments, provides timely client updates, and addresses concerns effectively.
  • Monitors system performance and identifies opportunities for ongoing optimization.
  • Other duties as assigned.

  • Business Development
  • Identifies prospective PMIS implementation opportunities with both existing and new clients. 
  • Engages with clients and industry stakeholders to promote PMA’s PMIS capabilities and drive business growth. 
  • Supports proposal development, presentations, and demonstrations for potential clients. 
  • Maintains industry knowledge and awareness of emerging trends to enhance PMA’s offerings. 
  • Establishes and nurtures long-term client relationships to generate recurring and new business.

Position Qualifications

  • Minimum 10 years of experience in implementing and managing of critical IT Systems.
  • Bachelor’s degree in computer science, information technology, project management, or related field. 
  • PMP or similar project management certification preferred.
  • Exceptional embodiment of the PMA DNA and core values. 

Additional Requirements

 

Physical: Standing or sitting for long periods; must be able to lift up to 15 pounds at times and spend extended hours in front of a computer screen.

 

Cognitive: Problem-solving, written, and verbal communication skills; computer and software skills; and ability to read and interpret text online or in printed form.
