Position Summary and Role Impact:
The Senior Specialist, Communications supports the planning, execution, and measurement of internal and external communications initiatives. This role serves as the primary owner of key internal communications channels and processes, including the company intranet, employee newsletter, communications calendar, email distribution, and communications analytics. The position also supports media relations, corporate events, sponsorships, vendor management, and employee engagement efforts.
The ideal candidate is a highly organized, detail-oriented, proactive communicator who is able to manage multiple priorities, partner with stakeholders across the organization, and use data-driven insights to continuously improve communications effectiveness.
Essential Functions:
- Manage the companywide communications calendar, advising stakeholders on timing, prioritization, and cadence of communications.
- Execute internal communications through email, intranet, Teams, and other channels.
- Own the end-to-end internal email process through PoliteMail, including building, scheduling, and distributing communications.
- Develop and support communication plans for key company initiatives, programs, and events.
- Maintain targeted distribution lists to support audience-specific communications.
- Serve as primary administrator for myNET, including publishing news, maintaining content, updating organizational pages, and managing the events calendar.
- Manage homepage content and banner promotions to ensure timely and engaging content.
- Create or source graphics and visual assets to support intranet content.
- Own The Works Weekly newsletter, including content planning, editing, stakeholder coordination, publication, and distribution.
- Track and analyze communications performance across PoliteMail, myNET, newsletters, and company meetings.
- Prepare recurring and ad hoc reports highlighting engagement trends and opportunities for improvement.
- Provide campaign-specific metrics and performance summaries to business partners and leadership.
- Support media relations activities, award submissions, speaking opportunities, and industry engagement initiatives.
- Monitor media coverage and prepare reporting and insights.
- Assist with planning and execution of internal and external events, including employee engagement activities, town halls, sponsorships, and conferences.
- Support communications-related activities tied to corporate sponsorships and partnerships.
- Coordinate vendor onboarding, invoice processing, and budget tracking for Communications projects and programs.
- Maintain project trackers, content calendars, communications assets, and department records.
- Support meeting coordination, stakeholder communications, and general department operations.

Education & Experience:

Knowledge, Skills and Capabilities:
- Proficiency with Microsoft 365 applications, including Word, Excel, PowerPoint, Teams, and SharePoint.
- Experience with PoliteMail, Canva, Adobe Creative Suite, or similar communications and design tools preferred.
- Familiarity with media relations, sponsorships, external communications activities, corporate events, and employee engagement programs preferred.
- Strong analytical skills with experience interpreting communications performance metrics.
- Proficient public speaking abilities preferred.
The salary range for this position, if located in NY Metro/NY State is $85,000 to $105,000. However, please note that the salary range will vary for other geographic areas.
