About the role

This is a high-impact operational role responsible for driving a seamless and inclusive interview experience across the enterprise. As a Senior Recruiting Coordinator, you will own the logistics of the candidate journey, using advanced scheduling tools to drive efficiency, consistency, and innovation. You will act as a critical bridge between recruiters, hiring managers, and candidates, ensuring that Zillow’s hiring process is scalable and high-quality. Beyond day-to-day coordination, you will serve as a mentor within the team, identifying opportunities for process improvement and leveraging data to optimize our scheduling workflows.

You Will Get To:

  • Lead and execute complex coordination: Manage high-volume, multi-stage interview schedules using automated tools integrated with Workday, Outlook, and Zoom, ensuring a "white-glove" experience for all stakeholders.

  • Optimize Scheduling Workflows: Serve as the primary contact for virtual, multi-day, and panel interviews; troubleshoot availability conflicts, time zone discrepancies, and automation errors with speed and precision.

  • Drive Operational Consistency: Define and refine best practices for scheduling actions, including reschedules and substitutions, while maintaining 100% data accuracy within the ATS.

  • Partner Cross-Functionally: Proactively communicate with Recruiters, Hiring Managers, and Interviewers to prevent conflicts, align on expectations, and ensure a unified brand voice.

  • Own Compliance and Documentation: Track interview feedback completion, NDA signatures, and other critical hiring documentation to ensure all regulatory and internal standards are met.

  • Mentor and Train: Lead the onboarding and upskilling of Recruiting Coordinators, building training materials and playbooks for automation, calendar management, and candidate communication.

  • Drive Continuous Improvement: Lead or participate in TA initiatives aimed at improving team efficiency, reducing cycle times, and increasing candidate satisfaction scores.

  • Manage Change: Support the implementation of new tools and system enhancements, ensuring clear communication and adoption across the coordination team.

This role has been categorized as an Office position. “Office” employees regularly work at the Zillow India office for approximately 80 to 100 percent of their time each month. Employees must live within a reasonable commuting distance of the office. Zillow has not defined a reasonable distance, and expects employees will use judgment in determining this for themselves and understand the implications re: time commitment and cost of daily commute.

In addition to a competitive base pay, employees in this role are eligible for incentive compensation subject to applicable laws and relevant Zillow policies. Actual amounts will vary depending on experience, performance and location.

Who you are
  • Experienced Coordinator: 3–5+ years of experience managing high-volume scheduling in a fast-paced environment (Recruiting Coordination, HR Ops, or TA Support).

  • Tech-Savvy Operator: Proficient in Workday (ATS), Outlook, and modern automated scheduling platforms (e.g., Paradox, GoodTime, Prelude); you enjoy learning new tools and driving their adoption.

  • Data-Driven & Organized: Strong organizational skills with a focus on metrics like cycle time and accuracy; you use data to diagnose scheduling bottlenecks and propose solutions.

  • Proactive Problem-Solver: Demonstrated ability to navigate ambiguity and manage multiple competing priorities with minimal supervision.

  • Strong Communicator: Able to translate complex logistics into clear updates for recruiters and candidates, maintaining a professional and empathetic tone.

  • Collaborative Partner: Skilled at building relationships across time zones and functions, ensuring all parties are aligned throughout the hiring lifecycle.

  • Passionate about Experience: You are energized by creating repeatable, scalable processes that remove friction for candidates and hiring teams alike.

Preferred Qualifications

  • Prior experience in a Lead or Senior Coordinator capacity within a high-growth FinTech or tech environment.

  • Experience implementing or scaling automated scheduling technology.

  • Knowledge of global hiring nuances, including time zone management and inclusive hiring practices.

  • Experience building internal SOPs or training documentation for HR/Recruiting operations.
