Job DescriptionSOCOTEC's Code & Planning department provides code compliance, permitting, and project management services that guide construction, filing, and municipal approval processes from initial planning through final sign-off. The department serves as the critical link between clients, design professionals, contractors, and municipal authorities, ensuring that every project moves efficiently and compliantly through each stage of approval.
The Senior Project Manager (SPM) plays a pivotal role within this department, acting as the primary driver of project success. This is an excellent opportunity for an experienced project management professional who thrives in a fast-paced, client-facing environment and is passionate about delivering high-quality outcomes through strong coordination, leadership, and problem-solving.
The Senior Project Manager is responsible for the logistics and successful execution of assigned projects from initiation through completion. The SPM serves as the central point of contact among clients, architects, engineers, contractors, and municipal agencies while ensuring that project plans meet all applicable regulatory and compliance requirements.
Throughout the life of each project, the SPM tracks project schedules and required deliverables while proactively communicating progress to all interested parties. The SPM is the key individual accountable for the approval, permitting, and sign-off process, and serves as the primary client contact for status updates, escalations, and project reporting. Success in this role requires strong leadership, sound judgment, and the ability to manage multiple concurrent projects under tight deadlines.
Key Responsibilities
- Create and manage all project management deliverables, including project plans, resource plans, management reports, risk/issue logs, and meeting minutes.
- Serve as the primary contact for clients for communication with internal and external members on project milestones such as filings, approvals, permits, letters of completion, and other municipality updates; maintain awareness of the status of all team projects.
- Deliver client services within established timelines and budgets.
- Plan, coordinate, and lead project activities to ensure the attainment of objectives, milestones, and schedules.
- Create and manage client communications such as status reports on a set frequency and/or as-needed basis.
- Apply strong listening, writing, and attention-to-detail skills to capture relevant points from meetings or correspondence and lead the creation of project and reporting documentation.
- Adhere to the company's standard operating procedures to successfully execute tasks and maintain quality and consistency across projects.
- Communicate proactively with clients regarding critical project milestones, including approvals, permits, sign-offs, occupancy requirements, and other municipality updates.
- Act as the primary point of contact for the project across all internal departments.
- Maintain internal status updates in firm software for billing purposes.
- Identify, assess, and mitigate project risks and issues, escalating as appropriate to minimize impact on schedule, scope, or budget.
- Attend project meetings and conference calls as needed, representing the interests of the firm and the client.
- Perform additional duties as needed to support departmental and organizational goals.
Required Qualifications
- Bachelor's degree and seven or more years of comparable project management experience.
- Strong communication skills, both oral and written, along with solid listening skills.
- A team player with strong initiative, a desire to learn, and the ability to complete tasks independently on projects as directed by management.
- Strong organizational and problem-solving skills, along with the demonstrated ability to multi-task across concurrent projects.
- Ability to work independently, act as a team leader, and collaborate effectively with other internal members.
- Prior experience in the construction, architecture, engineering, or real estate development industry.
- Advanced knowledge of municipal permitting, code compliance, and filing processes - New York City Department of Buildings (DOB), FDNY, Department of Transportation, Landmarks Preservation Commission (LPC), etc.
- Experience working directly with architects, engineers, contractors, and municipal agencies on project approvals.
- NYC Department of Buildings Class 2 Code & Zoning Representative License, or the ability to meet the requirements to obtain the license upon hire.
- Working knowledge of Microsoft Office software (Word, Excel, Outlook, PowerPoint).
Preferred Qualifications
- Project Management Professional (PMP) certification or equivalent project management credential.
- Prior experience supervising or mentoring junior project managers.

- Communication: Excellent verbal and written communication skills, including the ability to produce clear status reports, meeting minutes, and client-facing documentation.
- Project Management Tools & Software: Proficiency with project management software such as MS Project, along with Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
- Construction & Permitting Knowledge: Familiarity with construction processes, municipal permitting, code compliance requirements, and the approval/sign-off lifecycle.
- Organization & Multi-Tasking: Strong organizational skills with the ability to manage multiple concurrent projects and shifting priorities.
- Problem-Solving: Sound judgment and analytical thinking to resolve project obstacles quickly and effectively.
- Attention to Detail: Meticulous attention to detail when reviewing plans, documentation, and compliance requirements.
- Adaptability & Initiative: Self-motivated, able to work independently, and willing to take ownership of tasks and outcomes.
The base salary range for this position is $90,000 - $115,000 annually. Actual compensation within that range will be determined based on job-related knowledge, skills, experience, and relevant licensure.
