Summary of Objective:

The Senior Project Coordinator supports the successful planning, execution, and completion of projects across the organization. This role serves as a key liaison between project managers, stakeholders, and cross-functional teams to ensure project timelines, deliverables, budgets, and communications are effectively managed. The Senior Project Coordinator provides advanced coordination support, drives project governance activities, identifies risks, and helps implement process improvements to enhance project outcomes.

Essential Duties and Responsibilities:

  • Coordinate multiple projects simultaneously from initiation through completion.
  • Develop and maintain project schedules, milestones, action plans, and status reports.
  • Monitor project progress and proactively identify risks, issues, and dependencies.
  • Ensure project deliverables are completed on time and meet quality expectations.
  • Facilitate project meetings, document key decisions, and track action items.
  • Support project managers in resource planning and workload management.
  • Serve as a primary point of contact for project communications.
  • Prepare and distribute project updates, dashboards, and executive summaries.
  • Collaborate with cross-functional teams to ensure alignment on project objectives.
  • Escalate project concerns and risks to leadership as appropriate.
  • Maintain project documentation, files, and records in accordance with established standards.
  • Track project budgets, expenses, and resource utilization.
  • Ensure compliance with organizational project management methodologies and processes.
  • Support audit, reporting, and governance requirements.
  • Identify opportunities to improve project management tools, workflows, and reporting.
  • Recommend and implement best practices to increase efficiency and effectiveness.
  • Assist in developing project management templates, procedures, and training materials.
  • Mentor and guide junior project coordinators and project team members.

Qualifications:

  • Bachelor’s degree in business administration, Project Management, Operations, or a related field required.
  • Project Management Professional (PMP), CAPM, or equivalent certification preferred.
  • 5+ years of project coordination, project management, operations, or related experience.
  • Experience supporting complex, cross-functional projects.
  • Experience working with project management tools such as Microsoft Project, Smartsheet, Asana, Monday.com, Jira, or similar platforms.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage competing priorities in a fast-paced environment.
  • Strong analytical and problem-solving abilities.
  • Advanced proficiency with Microsoft Office Suite, particularly Excel, PowerPoint, Teams, and SharePoint.
  • Ability to build effective relationships with stakeholders at all organizational levels.
  • Knowledge of project management methodologies, including Agile, Waterfall, and hybrid approaches.
