Cumming Group is looking for a Senior Project Coordinator who plays a critical role in supporting both operational staffing functions and project delivery teams. This position is responsible for coordinating resource planning, staffing assignments, and utilization tracking within Deltek, while also providing high-level administrative and project support to the Principal-in-Charge and associated project teams. The role is split approximately between Resource Planning Support and Project Administration Support, requiring strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities:
Resource Planning Support
Utilize Deltek Vantagepoint to manage staffing assignments and labor utilization across all projects.
Collaborate with leadership to assign staff based on labor categories, experience, skill, availability, project requirements, and utilization goals.
Monitor staffing trends, identify potential staffing issues, and work with leadership to offer solutions to maximize staff utilization while also preventing burnout.
Update project staffing plans and resource assignments in Deltek Vantagepoint, ensuring data is accurate, complete, and entered in a timely manner.
Participate in monthly staffing review meetings to assess project staffing needs, balance workloads, and optimize staff utilization.
Maintain a comprehensive overview of staff utilization, project assignments, and anticipated resource needs, including in pursuit / pipeline projects.
Develop, customize, and manage reports to provide leadership and project teams with insights into current and future staffing needs.
Prepare and distribute monthly project, employee and utilization reports for senior leadership.
Serve as an internal resource for Deltek Vantagepoint project planning, resource management, staffing processes, and related reporting functions.
Work with the Billing Department to ensure projects are accurately set up in Deltek and are updated as project milestones, contract modifications, and extensions occur.
Principal-in-Charge & Project Team Administrative Support
Facilitate communication among project managers, team members, clients, and stakeholders.
Schedule and facilitate meetings with stakeholders throughout various stages of the project.
Coordinate project meetings, agendas, action items, and follow-up activities.
Calendar management for both the principal in charge and project management teams.
Liaison between the project management team and users/clients.
Efficiently manage a multi-line telephone system to promptly address, screen, or redirect calls, assisting with information provision or appointment scheduling.
Extend a warm welcome to clients upon their arrival, discerning the purpose of their visit, and guiding or accompanying them to their intended destination.
Assist in document preparation tasks, including printing or emailing documents to internal and external contacts.
Provide general administrative support to ensure efficient project operations.
Qualifications:
Bachelor’s degree is preferred, or an equivalent combination of education and relevant work experience.
Minimum of 5 years of experience in project coordination, project administration, resource management, or a related field.
Knowledge of Deltek Vantagepoint preferred but not required.
Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook, and Teams.
Analytical skills with the ability to evaluate staffing data, utilization metrics, and resource planning reports.
Excellent organizational, time management, and multitasking abilities.
Strong written and verbal communication skills with a professional and client-focused approach.
Ability to work independently while effectively collaborating with cross-functional teams.
Demonstrated attention to detail, accuracy, and commitment to maintaining high-quality work.

The salary range for this full-time role is $68,700.00-$87,033.34 per year. Ranges are determined based on the position, geography, client and industry experience and level, and represent a good faith effort to provide a fair and equitable salary. This range reflects base salary only, and not the total compensation package. Cumming Group reserves the right to pay more or less than the posted range, depending on a candidate’s experience, skills, and qualifications, including client requirements.
