Job Summary & Responsibilities
  1. Analyzes, generates and recommends solutions and leads and oversees others on activities related to employer events and operations projects. Generally handles complex assignments with external impacts as assigned by department executives and directors in support of the department's business objective. Assist team members with more complex tasks and provide feedback to team and management to ensure highest quality of work and that development needs are addressed.
  2. Assigns other department resources or cross-functional teams to external meetings, events, and/or project initiatives. This includes evaluating alternatives, defining the end product/desirable end result, identifying the necessary resources or contributing parties and delegating responsibilities, managing vendor relationships, maintaining a project timeline and status reports, coming up with mitigation tactics as issues arise, and handling/delegating materials such as invitations, compiling or fine-tuning presentation slide decks to ensure effective communication and professionalism, developing meeting materials and giveaways, and event menus and contracts.
  3. Provides administrative support for department executives including reports required for departmental data and statistics needs, as well as administrative support in the areas of human resource functions, maintaining calendars, and assisting in meeting executive management's day to day needs. Deals with sensitive/confidential material and many personalities in a fast-paced, multi-task environment. Coordinates general flow of internal and external visitors, telephone calls, and correspondence for executive management staff. Evaluates effectiveness of policies and procedures to improve workflows and efficiency.
  4. Coordinates postmortem activities with each project including customer surveys and internal documentation. Identifies process improvements opportunities, conducts cost/benefit analysis to prioritize and recommend solutions, and leads implementation efforts.
  5. Performs all other miscellaneous responsibilities and duties as assigned or directed.

Preferred Qualifications
  1. Associates degree and four (4) years secretarial or administrative assistance experience; or equivalent combination of education and experience.
  2. Team lead experience or otherwise demonstrated leadership skills.
  3. Effective communication skills
  4. Working knowledge of general office practices and procedures.
  5. Strong organizational skills.
  6. Effective interpersonal skills.
  7. Basic working knowledge of Microsoft Office applications, including but not limited to Outlook, Word, PowerPoint and Excel.
