Job Summary
The Massachusetts General Brigham (MGB) Sr. Program Specialist will work directly with the three Chief Advanced Practice Officers (CAPPOs) of Academic Medical Centers (AMCs) and Community Division, including Mass General Hospital/MEE and Brigham and Women’s Hospital/Brigham and MGB community hospitals, supporting system level initiatives.Reports to the Executive Director of the AMC OCMO, with indirect reporting to the MGB Director of Medical Affairs. The Sr. Program Specialist serves as the project lead for the MGB Office of the CAPPOs, advancing the mission and system goals of both the CAPPOs and the Office of the Chief Medical Officers (OCMO). Acting as a strategic advisor to the CAPPOs, the Sr. Program Specialist supports the development and execution of MGB APP workforce strategies, including recruitment, onboarding, retention, and professional development initiatives. The Sr. Program Specialist also leads efforts to support improvement of APP workflows, schedule templates, role clarity, and operational processes.
Qualifications
The Sr. Program Specialist is responsible for the oversight and direction of all system-level operational, financial, and administrative activities and taskforces undertaken by CAPPOs . This includes continuously creating and managing the administrative structure of the CAPPOs to best meet the evolving priorities of the CAPPO, OCMO and MGB system-wide activities.
The Sr. Program Specialist is responsible for establishing and managing deliverable timelines aligned with programmatic and/or sponsor-specified milestones to ensure that work is completed in an accurate and timely fashion.
The Sr. Program Specialist serves as the central point for planning, operational management, policy and process formulation and improvement, and organizational and strategic direction. The Sr Program Specialist serves as the key lead within the OCMO and CAPPO to whom all internal and external MGB stakeholders look for organizational planning and brings vision, efficiency, imagination, and significant demonstrated experience leading, managing, and building teams of significant scope and complexity.
The Sr. Program Specialist will be the champion for internal business process excellence and a conduit for awareness and integration of external best practices for CAPPOs affairs related to MGB APP medical affairs, compensation, resources and support.
The Sr. Program Specialist will analyze and summarize data, draft slides for presentations to key stakeholders and draft proposals put forth by the CAPPOs.
MGB APP Council & Taskforces

Actively reflect the Chief Advanced Practice Officers and senior leaderships’ position in internal meetings to help drive understanding of views.
Manage MGB APP Communication initiatives in collaboration with MGB Communications team, including Vitals Page and Email communication campaigns
Manage budget proposals and align MGB APP Budget cost centers
Support local implementation of system wide hospital-based and community-based clinical equity programs
Provide administrative oversight for Advanced Practice Providers, including physician assistants and nurse practitioners
APP Graduate Medical Education
Collaborate with MGB Student Steering Leaders, MGB Talent Acquisition and MGB APP Student Education Managers to increase APP student rotations, build the student hiring pipeline, and maintain APP Program agreements
Provide administrative support to APP student onboarding
APP Ongoing Professional Practice
Supervise activities related to MGB initiatives concerning medical professional practice evaluation, including but not limited to Ongoing Professional Practice Evaluation (OPPE), focused review of performance for newly requested privileges (FPPE) and re-credentialing and re-privileging process. Ensures rigorous system-wide and departmental quality measures are developed, vetted, and approved by MGB CAPPOs and OCMO
Administratively supervise implementation of medical policies across MGB in accordance with MGB Medical Policy Committee
Team Leadership
Responsible for supporting MGB CAPPOs in the areas of talent management, mentoring, and the creation of an environment leading to the success of individuals and the team.
Build effective multidisciplinary teams within the MGB administrative environment to take ownership of key initiatives and facilitate and promote staff involvement from all levels of the organization.
Challenge team to expand their roles and maximize their abilities and contributions. In collaboration with MGB CAPPOs, develops leadership capabilities of staff.
Data and Analytics Support
Collaborate with CAPPOs to define data requirements and ensure accuracy and completeness
Develop and maintain data models and databases to data analysis and reporting.
Conduct statistical analysis and data mining to identify trends, patterns, and insights
Collaborate with CAPPOs to define metrics and implement APP Dashboard

Qualifications
Minimum of 5-7 years related experience required, preferably in an academic medical center or related industry with at least 1 year of Team leadership experience.
Master’s degree in public health, healthcare management or relevant work experience preferred.
Previous experience managing large budgets.
Extensive knowledge of hospital-based information systems, and familiarity with clinical workflow and clinical quality measurement required.
Extensive expertise in managing working relationships in matrix structure.
Outstanding interpersonal skills and a high degree of social facility in obtaining cooperation and support from a range of people; ability to handle sensitive human resources issues, and supervise a large and diverse staff in handling these matters.
Current knowledge of laws and regulations. Ability to interpret, analyze and disseminate critical information to Department faculty.
Work Experience:Outstanding organizational skills are necessary to prioritize competing timetables, responsibilities, and deadlines.
The ability to delegate, effectively supervise, and plan for the timely and successful completion of short- and long-term objectives is essential.
Excellent verbal and written communication skills to communicate effectively with a large and diverse constituency, including senior hospital administrative staff, Department faculty and support staff, representatives of other MGH/BWH/MGB offices, collaborating institution officials, and vendors.

General day hours with flexibility to meet the demands of the position, including early morning and evening meetings as needed.

Fiscal Responsibilities
Oversees and/or prepares the annual operating budgets for the CAPPOs. Presents budgets to senior managers and completes related financial analyses to support programs contained in the budget.
