Job Description:

The Senior Program Coordinator is responsible for managing tour details between Sales and Product Delivery teams. They collaborate closely with Sales on ad-hoc custom itinerary creation and translating experiences into client-facing content that is relevant to the group’s academic focus. This role requires communication with internal staff, management, and occasionally external vendors, to explore unique programming options. The Senior Program Coordinator is an independent self-starter with excellent collaboration skills and an ability to make business decisions confidently.

Responsibilities:

  • Supports K12 (and other divisions as-needed) with the creation of ad-hoc custom itinerary requests that may fall outside the usual scope of custom program requests.
  • Conducts independent research and collaborates with Operations teams to source new on-tour experiences where needed. Provides Operations team with supplier and quote information.
  • Answers pricing and itinerary questions to help maximize sales. Provides Sales with information needed to submit comprehensive itinerary requests to the pricing team, clearly noting inclusions and exclusions.
  • Consults with Health & Safety and Operations teams to resolve relevant areas of concern.
  • Assists Sales team with itinerary changes, tour customizations, general destination/product information and special requests by using knowledge of world destinations and/or communicating with global Operations teams.
  • Understands sales and operational guidelines to ensure a balance in meeting partner and client expectations, while ensuring a high margin and tour quality.
  • Acts as liaison between Product Delivery and Sales teams, ensuring that internal business rules and product standards are upheld. Uses system and product knowledge to improve operational efficiency and tour itineraries.
  • Develops and implements new internal processes, rules and procedures based on the needs of the business.
  • Keeps internal system up-to-date and prepares data analysis, status updates, and other reporting for managers as appropriate.
  • Provides support on other projects and tasks as requested by department management. May be assigned responsibilities related to group management, pricing, or business analysis

 Qualifications:

  • Strong cross-functional collaboration skills with the ability to act as liaison between Sales, Operations and Product Delivery teams.
  • Excellent written and verbal communication skills, including the ability to translate complex itinerary and operational details into client-facing content.
  • Ability to manage multiple priorities independently, with sound judgement and confident decision-making.
  • Experience conducting independent research and evaluating programs to meet academic, operational and business requirements.
  • Comfortable supporting ad-hoc projects, process improvement initiatives and evolving business needs.
  • Ability to evaluate how decisions impact the customer experience and financial goals.
  • General understanding of the student travel industry and the WorldStrides business model. Knowledge of world destinations, with international travel experience preferred.
  • Some travel to other WorldStrides offices may be required; no more than once per year.
