Job Summary: The Senior Payroll Administrator works closely with and under the direction of the Payroll Supervisor to perform all activities necessary to ensure accurate and timely processing of domestic and international payroll.
- Maintains related payroll records.
- Reviews tax reports and voluntary deduction reports.
- Processes involuntary deductions such as levies and garnishments.
- Documents and updates procedures, as needed.
- Prepares special reports for management, members, and auditors.
What You Will Be Doing:
- Ensures timely and accurate processing of domestic and international payroll in accordance with applicable labor regulations, payroll requirements, and standard accounting principles.
- Works with Information Technology, Human Resources, Finance & Accounting, and third-party vendors to ensure appropriate security protocols and controls are maintained for payroll and pay-related systems, as directed.
- Provides guidance to management regarding payroll practices related to the Fair Labor Standards Act (FLSA), W-2 reporting, and other applicable payroll requirements.
- Processes calendar and fiscal year-end reports and reconciles W-2 information to ensure accuracy.
- Documents payroll processing discrepancies and maintains clear records of reconciliations, corrections, and adjustments.
- Works with the Human Resources department to coordinate payroll-related details for member leaves of absence, including FMLA or other unpaid leaves.
- Processes wage garnishments, pay levies, and other involuntary court-ordered payments in a timely manner, including required reporting to applicable state offices or jurisdictions, and assists members with general questions regarding the process.
- Works with current pay vendor to resolve technical issues with payroll processing system and resolves discrepancies resulting from glitches or malfunction of the system.
- Assists with general questions related to payroll, leave accruals, wage deductions, and other payroll-related matters.
- Conducts regular payroll reporting as required and assists with financial and other audits related to payroll.
- Maintains detailed records of all payroll transactions to support payroll results.
- Researches payroll anomalies and issues and identifies appropriate resolutions.
- Assists in maintaining synchronization and accuracy among applicable systems in sync for all payroll related items.
- Performs other duties as assigned.
Required Qualifications:
- Education: Associate or bachelor’s degree in relevant field preferred.
- Experience: Minimum 5 years of payroll experience (UKG a plus).
- Skills:
- Working knowledge of current payroll tax requirements and applicable federal, state, and local laws and regulations related to member wage and payroll data, including payroll taxes, federal and state income taxes, Social Security and Medicare taxes, and required payroll reporting a plus.
- Advanced computer skills and demonstrated proficiency with payroll systems.
- Thorough understanding of the importance of confidentiality and non-disclosure, in accordance with general HIPAA standards and applicable laws governing payroll information.
- Ability to exercise a high degree of diplomacy and tact; excellent customer service and interpersonal communication skills.
- Works within established procedures and guidelines, exercising sound judgment and initiative to identify, research, and resolve payroll discrepancies and issues in a timely and accurate manner.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities and meet strict payroll deadlines in a fast-paced environment.
- Ability to communicate effectively with members and internal organization in a timely, professional, and courteous manner.
