The Senior Payroll Accountant at WestCoast Children’s Clinic leads the full payroll process for 200+ employees, ensuring accuracy, timely delivery, and compliance with all regulations. This role manages payroll transactions, prepares general ledger entries, handles reconciliations, and oversees tax, benefits, and garnishment deductions. The Senior Payroll Accountant also supports audits and ensures seamless payroll operations across the organization.
Key Responsibilities:
- Process bi-monthly payroll for 200+ employees via ADP Workforce Now, ensuring accuracy and compliance.
- Maintain employee payroll records, update deductions, and reconcile discrepancies.
- Manage payroll taxes, benefits, and garnishment deductions.
- Respond to payroll inquiries from managers and employees.
- Conduct payroll variance analysis after each cycle.
- Update holidays, earnings codes, and shift differentials in ADP.
- Transmit 403(b) and Flex account deductions to third-party administrators.
- Reconcile 403(b) loan payments and deferrals (including Roth) monthly and quarterly.
- Resolve payroll discrepancies, record corrections, and ensure proper accruals in the general ledger per GAAP.
- Review state and federal quarterly returns prepared by third parties.
- Improve and document payroll policies and procedures.
- Assist with financial audits and lead the 403(b) audit.
Minimum Qualifications:
- Bachelor’s Degree with at least 3 years of payroll experience, preferably in the non-profit sector for 200 plus employees.
- Experience with payroll systems, preferably ADP Workforce Now.
- Proven expertise with MS Excel (Intermediate Level minimum)
- Experience with accounting software packages, preferably Sage MIP.
Key Competencies:
- Strong math and analytical skills; solid understanding of payroll calculations, including overtime, shift differentials, and on-call shifts.
- Knowledge of California wage and hour laws, regulations, and best practices.
- Ability to prioritize and work accurately with close attention to detail; strong time management skills and an ability to work independently.
- Excellent written and oral communication skills.

Position Details and Compensation:
This is a full-time, onsite (in-person) position, and is based out of our Oakland office in Fruitvale. Salary range $75,000-$85,000 per year depending on experience, and includes benefits, 403b, and performance-based compensation plans.
