SUMMARY:

The Senior Specialist of Meeting Services oversees the Tyson strategic meetings management program utilized by all employees of Tyson Foods, Inc., and subsidiaries, for all locations.  The position is responsible for developing strategic plans and executing sourcing activities, working closely with meeting stakeholders.  The position will leverage their experience and knowledge to build comprehensive strategies through continuous improvement and innovation while actively seeking to mitigate risk to Tyson and meeting participants, while increasing efficiencies and delivering value and savings for the business. 

The position is involved in the registration of qualifying events, planning, sourcing, contracting, attendee registration, onsite support, onsite registration, event production needs, meal planning, entertainment, and other needs specific to a diverse portfolio of meetings and events.

The position oversees Meeting Services including decision making on technology and tools utilized on behalf of Tyson, meeting policy recommendation and guidance, works closely with suppliers including hoteliers and venues, provides expertise and guidance to clients, ensures compliance with company policies, and facilitates training room management.

Essential Duties and Responsibilities:

  • Manages the development and planning of meetings and events enterprise wide.
  • Manages team member client relationships during the planning of events providing expertise and guidance with focus on delivering a high quality, successful event that meets or exceeds client’s objective.
  • Manages staff to ensure consistency of all phases of the planning and delivery of events following best practices; and adherence with policies and processes of Tyson, the Travel department and Meeting Services.
  • Manages meeting technology and tools for tracking, sourcing, reporting, compliance monitoring, authorization approvals and registration of meetings and events.
  • Manages meeting and event budget tracking and negotiations to provide the most favorable outcome for Tyson.
  • Manages technology used to drive efficiency in training rooms including booking automation, calendars, and workflow relating to configuration and communication, including company policies.
  • Manages internal website design and comprehensive content for meeting services clients and meeting participants.
  • Contributes to the development of company policy on meetings and travel, and changes warranted due to changing needs of business and industry.
  • Supplier relationship management with hotels, convention centers, and venues; and services including food and beverage, ground transportation, audio visual and production, promotional, entertainment, and technology.
  • Uphold team member relationships across all organizational levels; and manage high level clients and participants planning or attending exclusive meetings.
  • Supports the Sr Mgr in developing, managing, and implementing tools and processes to achieve maximum safety, service and value of Tyson’s travel and meeting spend.
  • Supports the Sr Mgr in developing, managing, and overseeing processes to mitigate risk and promote safety for business travel.
  • Supports the Sr Mgr in developing, managing, and overseeing processes to mitigate monetary loss on business travel and meeting spend.
  • Manages record retention policy compliance for the meetings and events.
  • Manages sensitive internal activities relative to investigations by legal, security, human resources, internal audit, and others.
  • Supports development and reporting protocol for critical duty of care standards for meeting, event and show participants.
  • - Develop and implement sustainability initiatives for meetings and events, ensuring environmentally friendly practices are integrated into planning and executing
  • Manage the coordination of international events as they become onboard with our policies. Become familiar with key contacts and work through processes

 

REQUIREMENTS:

  • Education: Bachelor’s degree or equivalent required. Hospitality, Project Management, Communications preferred.
  • Experience: 5 plus years of experience.
  • Computer Skills: Requires standard computer skills. Familiarity with CVENT.
  • Communication Skills: Excellent verbal and written communication skills are required. Strong presentation and training skills are required
  • Special Skills: Deep knowledge and understanding of strategic meetings management and all facets involved in planning large numbers of diverse meetings and events across a wide platform of clients and for a variety of purposes.  Strong, proven project management skills with the ability to prioritize activities, planning and excellent time management and organizational skills; and to lead project teams.  Demonstrated ability to handle multiple tasks and assignments simultaneously.  An astute ability to process vast and varied data quickly and action conclusions as needed.  Deep understanding of the monetary impact of all meeting expenses to drive value, mitigate risk, and spend.  Effective communication skills with ability to firmly provide direction.  Ability to present and train on complex topics in an effective and concise manner to broad-based audiences including various levels of management.
  • Supervisory: This position will have direct reports.
  • Travel: 6 plus domestic trips per year
