Position Summary:

The Senior Marketing Project Coordinator independently coordinates assigned marketing projects, proposals, communications, events, and recurring programs. This position works with department leaders, regional teams, vendors, and external partners to deliver projects within approved objectives, timelines, budgets, and brand standards. 

Position Responsibilities:

  • Coordinates assigned marketing projects from planning through completion. 
  • Establishes project schedules, responsibilities, and approval requirements with department leaders. 
  • Maintains shared project calendars, recommends priorities, and communicates progress and deadline risks. 
  • Coordinates project contributors and resolve execution issues within established authority. 
  • Coordinates proposal and RFP production under the Corporate Communications Manager’s content leadership. 
  • Assists the Director of Client Services with sales materials, coordinating content and design with the appropriate department leaders. 
  • Reviews marketing materials for accuracy, completeness, and consistency before final approval. 
  • Maintains approved marketing resources and assigned CRM records. 
  • Supports department leaders with research and approved award, ranking, nomination, and sponsorship submissions. 
  • Independently coordinates assigned events within approved objectives, timelines, and budgets. 
  • Recommends vendors and coordinates approved services, contract reviews, and invoice reconciliation. 
  • Directs event logistics and contributor activities, resolves onsite issues, and recommends improvements. 
  • Coordinates communications production and distribution under the Corporate Communications Manager’s direction. 
  • Supports the Digital Brand Manager with approved website updates, digital materials, and publishing schedules. 
  • Administers approved branded merchandise, inventory, and advertising support programs. 
  • Coordinates assigned client survey activities under the Corporate Communications Manager’s direction. 
  • Supports companywide employee, charitable, recognition, and industry engagement initiatives. 
  • Develops and implements approved workflow improvements and project tracking standards. 
  • Protect confidential business and client information. 
  • Performs other related duties as assigned.  

Knowledge, Skills and Abilities:

  • Ability to independently deliver projects involving multiple contributors and deadlines. 
  • Strong organizational skills and attention to detail.
  • Strong writing, editing, and proofreading skills. 
  • Ability to prepare professional materials using approved messaging and brand standards.
  • Ability to coordinate contributors without direct supervisory authority. 
  • Working knowledge of event logistics, vendor coordination, and expense tracking. 
  • Ability to resolve problems and recognize matters requiring approval or escalation. 
  • Strong interpersonal and customer service skills. 
  • Ability to adapt to changing priorities and communicate recommended solutions. 
  • Ability to maintain accurate records and handle confidential information with discretion. 

              Physical Demands & Work Environment:

              • Primarily works at a workstation using a computer and standard office equipment. 
              • Uses a personal vehicle for occasional travel to company functions, office locations, vendor meetings, and event venues. 
              • Periodic evening or after-hours availability to support scheduled events. 
              • Event duties may require extended standing and walking, setup and breakdown, and lifting or transporting materials weighing up to 50 pounds. 
                    Qualifications Behaviors Preferred Team Player: Works well as a member of a group Education Required High School or better. Preferred Bachelors or better. Associates or better. Experience Required High school diploma or GED and three (3) years of experience working in a Marketing or Sales role. Valid Drivers License. Preferred Bachelor's degree in Marketing or related field and one (1) year of experience working in an administrative role within an office environment OR an Associate’s Degree in Marketing or related field and two (2) years of experience working in an administrative role within an office environment.                     Skills Required

                    • High school diploma or GED
                    • Three years of experience working in a marketing or sales role
                    • Valid driver's license
                    • Bachelor's degree in Marketing or a related field and one year of administrative office experience
                    • Associate's degree in Marketing or a related field and two years of administrative office experience
                    • Equivalent combination of education and experience may substitute for minimum requirements
