WHAT IS YOUR ROLE

As a Senior Operations Manager, you will be the right hand to the founder and to the Manila-based studio. You’ll implement systems, hold the team accountable, and install the KPIs, forecasts, and dashboards that take the company from reactive to proactive. This role is ideal for a process-oriented, systems-minded person who thrives in creative environments and wants to directly contribute to business performance, team effectiveness, and sustainable growth.

WHAT WILL YOU DO

A. Financial & Operational Infrastructure

    • Own all operational dashboards, KPIs, and reporting (utilization, profit margin, project delivery timelines)
    • Manage project profitability tracking and install forecasting into project planning
    • Transition accounting from Wave to Xero, including automation workflows
    • Coordinate with finance to oversee AR, aging receivables, and monthly financial hygiene

B. Systematize & Scale

    • Implement HubSpot as a source of truth for the sales pipeline and delivery planning
    • Design and enforce repeatable processes for scoping, resourcing, and delivery
    • Build studio SOPs around project delivery, client communication, feedback cycles
    • Drive EOS or similar operational framework to align team and increase accountability

C. Team Performance & Capacity Planning

    • Monitor team capacity, implement resourcing strategies (full-time vs contract)
    • Design and manage a variable comp model tied to quarterly performance
    • Own hiring funnels, onboarding, and performance reviews for the team
    • Lead weekly ops syncs, 1:1s, and ensure alignment on KPIs and capacity

D. Strategic Growth Support

    • Provide sales ops support—proposal generation, contract templates, client onboarding
    • Build dashboards to forecast revenue and flag risk before it hits delivery
    • Support exploration of AI tools that enhance workflow and reduce production bottlenecks
    • Free up the founder’s time by anticipating problems, eliminating blockers, and getting ahead of chaos

YOU HAVE…

  • 5+ years experience in operations, studio management, or as Chief of Staff
  • 5+ years of people management experience
  • Prior experience working in creative or visual production environments
  • Experience as a Project Manager / Operations Lead
  • Experience with implementing operational KPIs
  • Experience working with Financial Data
  • Obsessed with systems, accountability, and financial hygiene
  • Proven experience building operational systems and scaling internal processes
  • Proficiency in tools like: Google Sheets, Xero, HubSpot, Notion, Toggl, and AI apps
  • Excellent organization skills
  • Excellent communication skills both written and verbal and interpersonal skills
  • Attention to detail
  • A builder’s mindset—you don’t wait to be told what to fix
  • Preferably based in Metro Manila or available to fly in for studio outings and work aligned hours remotely
