Job DescriptionThe Senior Manager, Business Operations is accountable for two core areas of responsibility. First, the role serves as the primary point of contact for engagement with Health Care Professionals (HCPs) and other external experts, including coordinating contracting and onboarding, planning and executing advisory boards and other external-facing engagements, ensuring timely and accurate processing of HCP invoicing and payments, and delivering a high-touch service model that supports a positive and professional experience. Second, the role leads continuous improvement of operational processes related to external engagement and event planning by standardizing and optimizing workflows, establishing and monitoring performance metrics, identifying improvement opportunities, and implementing sustainable solutions that enhance efficiency, quality, compliance, and stakeholder satisfaction.
Responsibilities
- Serves as the primary point of contact for HCPs and other external experts, providing responsive, high-touch coordination and support throughout the engagement lifecycle.
- Coordinates external expert contracting and onboarding activities in partnership with internal stakeholders (e.g., Purchasing/Procurement, Legal, Compliance), ensuring required documentation and approvals are completed accurately and on time.
- Plans, coordinates, and executes advisory boards and other external-facing engagements, including agenda/logistics support, vendor coordination, and day-of-event operational oversight, as applicable.
- Manages end-to-end HCP invoice and payment operations, including submission tracking, issue resolution, and follow-through to ensure timely and accurate payment in accordance with policy and compliance requirements.
- Maintains clear communication with HCPs/external experts and internal stakeholders to confirm expectations, address questions, and resolve issues promptly to support a positive engagement experience.
- Defines, standardizes, and continuously improves operational processes related to external engagement and event planning, identifying inefficiencies and implementing sustainable solutions.
- Develops, tracks, and reports key performance metrics for external engagement operations and event execution (e.g., contracting cycle time, payment timeliness, issue resolution), escalating risks and trends, as needed.
- Establishes and maintains cross-functional partnerships (e.g., Finance, HR, Asset teams, Purchasing) to ensure seamless execution, alignment to requirements, and consistent service delivery.
- Creates and maintains process documentation, tools, and guidance to support consistent execution and manage expectations and enable knowledge transfer/continuity of support.
- Collaborates with other operational teams to share best practices, drive adoption of improvements, and support broader operational effectiveness initiatives
Qualifications
- Bachelor’s degree required. Advanced degree/certifications a plus. Minimum of 6 years total experience required, 4+ years Business related. 2+ years in pharmaceutical, healthcare or regulated industry and strong knowledge in pharmaceutical regulations i.e. FDA and European Union preferred. 3+ years experience in a business operations role; and/or experience in finance/accounting/procurement strongly preferred.
- Prior experience with purchasing or financial processes required (including SAP, purchasing, vendor contracts, purchase order set up and invoice resolution).
- Experience working in a complex and matrix environment required. Demonstrated ability to own proactive problem solving/stakeholder management to drive the business forward
- Proficiency in project planning experience including successful support of business and/or technology initiatives preferred
- Preferred: Proficiency with Smartsheet(s) for project planning and workflow management; working capability in Power BI for dashboarding and performance reporting.
- Experience in developing, tracking, and maintaining functional budget and headcount forecasts preferred.
- Expertise in Contract and Procurement processes preferred.
- Strong communication skills, both oral and written required.
- Proven ability to work in a global environment.
