The Position

The role primarily includes supporting the Senior Vice President IT EMEA & Global IT Tommy Hilfiger and the Senior Vice President Infrastructure & Operations as a
Senior Management Assistant, providing administrative support, calendar management, preparing presentations, and being an ambassador for the department. The scope also includes basic Communications & Organizational responsibilities such as support with hosting events for the respective Senior Vice President domains, etc.
You should enjoy being the main contact, juggling many things at once, and have a “can do” attitude. This role is perfect for someone who enjoys a dynamic and fast-paced environment and loves to be at the center keeping things moving seamlessly.

Key Responsibilities

Include but not limited to:
Calendar and Email Management

  • Efficiently manage complex calendars, prioritizing and scheduling meetings and appointments, considering various time zones globally.
  • Proactively identify and highlight important tasks and meetings, ensuring the leaders are promptly reminded.

Meeting Support

  • Video conferencing set up.
  • Attend and participate in all team meetings, taking detailed notes, and disseminating information to the team.
  • Collaborate with stakeholders to organize and execute small events, providing on-site support as necessary.

Communication and Relationship Building

  • Act as a liaison between the leaders and internal/external stakeholders, maintaining strong professional relationships.
  • Work closely with other management assistants across the business, fostering collaboration and sharing best practices.

Travel Planning

  • Coordinate domestic and international travel arrangements for the leaders, including flights, accommodations, and ground transportation.

Presentation Support

  • Assist in the creation of basic presentations, gathering input and guidance from the executive, ensuring clarity and professionalism.

Expense Management

  • Facilitate timely completion and submission of monthly expenses for the leaders, ensuring accuracy and adherence to company policies.
  • Process expense reports from team members, obtaining approvals from the leaders within one week of receipt.

Purchase Orders and Invoices

  • Raise purchase orders and ensure invoices are processed accurately and promptly in applicable systems.
  • Monitor and track invoice approvals, following up with the leaders to ensure timely processing within one week of receipt.

The Ideal Candidate

  • Experience: Minimum 3 years of experience as a Management Assistant or similar role, preferably supporting senior-level executives in a fast-paced environment.
  • Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with stakeholders at all levels.
  • Organization: Exceptional organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Tech-Savvy: Proficient in Microsoft Office Suite and calendar management tools. Experience with Concur or similar expense management systems is a plus.
  • Networking: Medium network within the industry, with the ability to build and maintain relationships effectively.
  • Proactive: Self-motivated and proactive with a high level of initiative and attention to detail.
  • Team Player: Collaborative mindset, with the ability to work effectively as part of a team and provide support to other management assistants as needed. "Can do" attitude is a pre.
