The Role
The Senior Legal Operations Specialist will serve as an operational partner to the Chief Legal Officer and Legal team, with a particular focus on contract lifecycle management, matter intake and management, workflow design and optimization, legal technology, department planning and reporting, and process improvement.
The ideal candidate has hands-on experience implementing or onboarding a CLM system and designing legal intake and matter workflows that support the contract lifecycle, rather than simply using an existing CLM platform. Experience with Ironclad is required. Experience with Jira is strongly preferred.
This role is ideal for someone who enjoys figuring out how work gets done, identifying opportunities to eliminate unnecessary steps and manual work, and using technology—including AI and automation—to streamline legal processes and improve the experience for Legal and business stakeholders.
What You'll Do
Manage and optimize end-to-end contract lifecycle operations, including intake, triage, routing, approvals, execution, repository management, post-execution administration, and performance reporting.
Serve as the day-to-day administrator for the Legal team’s new CLM platform (Ironclad), leading the remainder of its implementation, onboarding, and ongoing optimization. Design, build, test and maintain Ironclad workflows, approval matrices, intake forms, templates, documentation, reporting, and user adoption.
Partner with Legal and cross-functional stakeholders to translate business requirements into scalable, automated CLM workflows and processes, identifying opportunities to improve efficiency, visibility, controls, and the overall contract experience.
Manage Legal’s Jira Service Desk, including directing requests, managing workflows and tickets, coordinating cross-functional initiatives, and optimizing Jira-based processes for the Legal team.
Maintain visibility into workload, capacity, aging matters, and priority conflicts for escalation to Legal leadership.
Maintain accurate and up-to-date contract repositories, legal matter records, templates, playbooks, and department tracking tools.
Partner with Legal and cross-functional stakeholders to develop, standardize, and document legal processes, procedures, and governance practices, and manage Legal team projects.
Support Legal Operations initiatives focused on technology, automation, reporting, and process improvement, proactively identifying opportunities to streamline workflows and increase efficiency, including through the implementation of appropriate AI-powered tools.
Prepare reports, dashboards, and analyses relating to Legal request volumes, turnaround times, workflow performance, and department activity.
Support user training, change management, documentation, and adoption of CLM, Jira, Zip and other technology platforms utilized by Legal.
Maintain confidentiality and exercise sound judgment when handling sensitive legal and business information.
What You'll Bring
Bachelor's degree required; paralegal certification or relevant legal operations training is a plus.
5+ years of experience in legal operations, contract administration, legal technology, paralegal work, compliance, or a related function.
Hands-on experience implementing, administering, or optimizing Ironclad, including building workflows, approval processes, intake forms, templates, automations, reporting, and contract repositories. Experience must extend beyond using Ironclad solely as an end user.
Demonstrated experience translating Legal and business requirements into scalable workflows and technology solutions, including process automation, system administration, change management, and user adoption.
Experience with Jira and familiarity with using Jira to manage legal workflows, requests, projects, or cross-functional processes is strongly preferred.
Experience working in a public company environment is a plus, particularly familiarity with the operational, reporting, compliance, and governance requirements of a public company.
Experience supporting contract lifecycle management processes, including intake, routing, approvals, execution, and document retention.
Demonstrated ability to manage multiple projects and deadlines simultaneously with minimal supervision.
Excellent attention to detail and a high degree of accuracy, and the ability to balance such attention with a pragmatic, technology-forward approach to getting work done.
Strong written and verbal communication skills, including the ability to prepare concise executive materials, work effectively with attorneys, business stakeholders, and C-suite leaders.
Strong analytical and problem-solving skills, with an ability to understand complex processes and identify opportunities for improvement.
Ability to work independently, exercise sound judgment, and handle confidential information with discretion.
A proactive, collaborative, and service-oriented approach to supporting a fast-paced Legal team.
Experience in a technology, advertising, media, or other high-growth business environment is a plus.
