Summary Generated by Built In

Crumbl is seeking a high-judgment, highly organized Senior Executive Assistant to support the Chief Financial Officer. This role is designed to protect the CFO's time by owning calendar management, email triage, investor communications coordination, board preparation logistics, finance meeting cadence, business travel, and high-priority follow-through.

The ideal candidate operates as a strategic business partner, not only an administrative scheduler. This person will improve executive operating rhythms, strengthen communication flow, and help ensure the CFO remains focused on strategic finance leadership, stakeholder engagement, and critical business decisions. Scope of CFO and Executive Assistant responsibilities includes Finance, Development and Supply Chain.

Responsibilities

    • Executive Calendar and Time Management
      • Own and optimize the CFO's calendar, ensuring priorities, decision-making time, deep work blocks, travel, and internal leadership meetings are sequenced intentionally.
      • Evaluate meeting requests, clarify objectives, and decline, delegate, shorten, or reschedule low-value meetings when appropriate.
      • Prepare the CFO daily and weekly by ensuring all meetings include complete agendas, attendee lists, context, logistics, and required pre-read materials.
      • Email and Communication Management
        • Fully manage and triage the CFO's inbox, identifying priority items, drafting replies, routing requests, and resolving routine matters with speed and discretion.
        • Draft professional internal and external correspondence on behalf of the CFO, including responses to leadership, partners, vendors, and investor contacts.
        • Maintain a high standard of responsiveness, accuracy, and professionalism in written communications.
        • Investor and Board Support
          • Coordinate investor communications logistics, including scheduling, briefing preparation, follow-up tracking, and timely delivery of requested materials.
          • Support board meeting and lender call preparation by managing calendars, timelines, logistics, draft deck coordination, pre-read circulation, attendee confirmations, and day-of execution.
          • Act as a liaison with board member assistants, investors, external advisors, and other executive offices as needed.
          • Maintain a forward-looking calendar of recurring investor, board, and finance milestones to ensure no critical date is missed.
          • Finance Meeting Coordination
            • Coordinate recurring finance leadership meetings, monthly and quarterly business reviews, and cross-functional sessions led by the CFO.
            • Gather agendas, collect inputs, assemble pre-reads, and ensure the right stakeholders are prepared in advance.
            • Track action items, owners, deadlines, and status updates after meetings so commitments are completed without requiring the CFO to chase follow-through.
            • Briefing, Follow-Through, and Executive Operations
              • Prepare concise briefing notes for important meetings, including participant background, key issues, desired outcomes, and open decisions.
              • Run a daily executive sync process with the CFO to review priorities, flagged issues, upcoming meetings, pending decisions, and next actions.
              • Support smooth execution across the office of the CFO through strong coordination, documentation, and follow-through.
              • Travel and Administrative Support
                • Manage business travel planning, itineraries, logistics changes, and travel briefs for the CFO.
                • Prepare and process expense reports, reimbursements, and administrative documentation accurately and on time.
                • Handle sensitive information with complete confidentiality, professionalism, and sound judgment.
                  • The Senior Executive Assistant will regularly perform the following activities:
                    • Review and reset the CFO inbox each day, prioritize incoming requests, and draft or send responses within agreed authority levels.
                    • Confirm meeting readiness by gathering agendas, briefing materials, financial context, and attendee information before each meeting.
                    • Coordinate investor calls, board prep sessions, finance leadership meetings, and cross-functional follow-ups.
                    • Track open action items across Finance and executive stakeholders and proactively remind owners until work is completed.
                    • Prepare travel plans, itineraries, and day-of logistics for internal and external meetings.
                    • Draft polished communications and ensure requests are routed to the correct internal owner when they do not require direct CFO involvement.
