Location: Shared Services Office, Irving, TX (5 days per week in office)
Summary:We are seeking a highly organized, proactive, and resourceful Senior Executive Assistant to support members of our C-Level team. The focus on this role will be to support 3 -C-Level executives that include all Shared Services areas of Finance, People, Marketing, IT, Risk Mgt, and Growth. This role is pivotal—not just about managing schedules, but about creating time, space, and focus for the executive/s to lead at the highest level. The ideal candidate thrives in a fast-paced environment, has strong business acumen, exceptional communication skills, and can manage high-level responsibilities with discretion, grace, and confidence.
Essential Duties and Responsibilities:Executive and Administrative Support- - Manage complex calendars and schedule high-priority meetings, resolving conflicts seamlessly.
- - Coordinate detailed travel logistics including flights, hotels, transportation, and itineraries.
- - Assist in drafting agendas, capturing meeting notes, and tracking follow-ups using tools like Copilot.
- - Monitor, triage, and respond to executive emails as needed.
- - Print and prepare materials for key meetings.
- - Process and manage executive expense reports accurately and promptly.
- - Assist with ordering meals on busy days and for meetings, as well as supply needs.
- - Proof and edit documents to ensure accuracy and consistency.
- - Plan, organize, and execute internal and external events including leadership offsites, board meetings, client entertainment, and team milestone celebrations.
- - Coordinate catering, venues, vendors, reservations, and communications.
- - Ensure seamless, brand-aligned event experiences.
- - Schedule and coordinate Board and Executive Leadership Team meetings.
- - Prepare and distribute agendas, board materials, and PowerPoint presentations.
- - Take and finalize professional meeting minutes.
- - Maintain secure records and communications with board members.
- - Experience using platforms such as Diligent is preferred.
- - Willingness to travel for offsite meetings and events as required.
- - Anticipate executive needs and resolve issues proactively.
- - Support project management and track internal deliverables for executives in a system
- - Liaise between executives and internal/external stakeholders.
- - Assist with CRM data input and organize team-submitted data into reports or spreadsheets.
- - Exceptionally Organized, project management, and multitasking abilities.
- Proactive, forward thinking, ability to anticipate needs before they arise
- - Strong communication and interpersonal skills across all levels.
- - Demonstrates discretion and professionalism with confidential information.
- - Tech-savvy and comfortable using tools like Microsoft Office suite and Office 365 and CRM systems.
- Exceptional PP capability

- - 8+ years supporting senior executives in a fast-paced environment.
- - Proven experience with C-level event planning and board support.
- - Mastery of email, calendar, and document management tools.- MS Office 365
- - Experience with project management tools like Monday.com, Planner, etc.
- - Event planning certification is a plus.
The position is an in-office role, based in a corporate office environment in Irving, TX 5 days a week. Reasonable accommodations may be made for individuals with disabilities. Salary ranges listed are dependent upon a candidate’s qualifications, experience, internal equity, and the budgeted amount for the specific role and location.
