Position Overview:

The Senior Executive Assistant provides high-level, proactive support to three C-Suite leaders and their teams, operating as a trusted partner who enables focus, alignment, and execution. This role balances proactive calendar and meeting support with hands-on office management, including supply ordering, new hire desk set up, and front desk coverage as needed. This role requires strong judgment, business acumen, and the ability to work independently in a fast-paced, high-expectation environment.

 

The ideal candidate anticipates needs, resolves complexity autonomously, and adapts their level of support to meet evolving business priorities. As well as being comfortable switching between executive support and office floor support throughout the day. Occasional travel (approximately 5%) may be required to support key team off-sites or events.

Job Responsibilities:

  • Provide proactive, high-level administrative and operational support to senior leaders and their teams across multiple time zones
  • Own complex calendar management, including prioritization, coordination across stakeholders, and resolving scheduling conflicts with sound judgment
  • Own office supplies ordering: monitor inventory, process orders and stock accordingly

·       Provide front desk coverage as needed and serve as primary point of contact for day-to-day office needs and questions

·       Plan and support team engagements such as leadership meetings, customer and vendor meetings, staff meetings, all-hands sessions, offsites, and team-building events

·       Partner closely with leaders, program and project teams, recruiting, and fellow executive support professionals to ensure seamless organizational support. This includes partnering with HR/IT to coordinate new hire desk set up to help ensure a smooth first-day experience for new employees

  • Coordinate end-to-end domestic travel logistics, including itineraries, changes, and real-time troubleshooting
  • Prepare, submit, and track expense reports in a timely and accurate manner, ensuring compliance with internal policies
  • Track action items, deadlines, and deliverables to ensure critical initiatives move forward without delay
  • Comfortable owning and driving small-to-medium operational projects as needed (e.g., office moves, build-outs, or team initiatives)
  • Identify opportunities to improve workflows, tools, and internal processes; help design and implement scalable systems that enhance team effectiveness

  • Proven ability to manage multiple priorities simultaneously, adapt quickly to changing needs, and meet tight deadlines with minimal direction
  • Strong judgment and discretion when handling sensitive, confidential, or high-stakes information
  • Exceptional organizational skills, attention to detail, and follow-through
  • Clear, professional communication skills and the ability to interact confidently with senior leaders and cross-functional partners
  • Comfortable working independently while remaining highly collaborative
  • Service-oriented mindset with a focus on anticipating needs and delivering a consistently high standard of support

Baseline Requirements

Education, Professional Certification, and Licenses:

·       Bachelor’s degree preferred or equivalent professional experience

Experience:

·       10+ years of executive assistant experience supporting C-Suite leadership, preferably in similar industry (tech, infrastructure etc.)

·       Experience managing complex executive calendars with competing priorities

Travel and Schedule:

·       Full-time, in-office (5 days/week)

Expected Salary Range: $130K - $160K (Total Compensation Base + Annual Bonus)
