We are seeking a highly skilled and discreet Executive Assistant to provide top-tier support to our General Manager and the Country Leadership team (CLT) in the Netherlands. This role is critical to the smooth and professional functioning and supports strategic execution across our diagnostics network, whilst being a key driver of office engagement.
As an Executive Assistant, you will ensure seamless administrative and strategic support to the General Manager and CLT. You will act as a trusted liaison across internal teams and external partners, maintain high levels of confidentiality, and provide structure and consistency in a fast-paced environment.
Key Responsibilities
Executive & Leadership Support
· Manage complex calendars for the General Manager, scheduling meetings across business priorities.
· Coordinate internal and external stakeholder engagements, including client meetings, site visits, and operational reviews.
· Draft, edit, and format executive-level communications, presentations, and reports with precision and professionalism.
Country Leadership Coordination
· Support the planning and execution of regular CLT meetings, offsites, and strategic forums.
· Assist in the preparation of operational reviews, KPIs, and performance update materials.
· Track and follow up on key actions, decisions, and project deadlines within the CLT.
Travel & Expenses
· Organize international travel for the General Manager, including itineraries, accommodations, and local logistics.
· Manage travel budgets and expense reports in line with Unilabs policies and approval workflows.
Administrative & Project Support
· Assist with the coordination of cross-functional projects where needed.
· Maintain updated records, databases, and filing systems for efficient access to information.
· Act as a point of contact for sensitive or urgent matters, ensuring alignment and continuity when leaders are traveling or unavailable.
Office & team engagement
· Organizer of activities for the organisation
· Key initiator on office related topics
· Connector to the wider organisation and sensor of the mood in the team
Requirements
Experience & Background
· Minimum 7–10 years of experience supporting senior executives, ideally in operations or within a multinational, healthcare, or logistics-related organization.
· Proven success in supporting C-level or senior operational leaders in a complex, matrix environment.
Skills & Competencies
· Excellent organizational, prioritization, and multitasking skills in fast-paced environments.
· Shows strong strategic insight by filtering relevant information and detecting patterns
· Strong written and verbal communication skills in both Dutch and English
· High emotional intelligence, with the ability to handle confidential information with discretion.
· Proficiency in Microsoft Office Suite, Teams, SharePoint, and other enterprise productivity tools.
· Proactive, resourceful, and capable of working independently under pressure.
