This Senior Executive Assistant role is a critical team member within Citi’s Tampa office, providing comprehensive administrative support to senior ICRM leaders, including calendar management, travel arrangements, and correspondence. Beyond traditional support, this role is key to fostering an engaging onsite environment by organizing people engagement events, onsite leadership engagements, and acting as a site champion resource for new hires within the Tampa office. This dynamic position requires onsite presence in Tampa three days a week, aligning with Citi’s hybrid work model.

Responsibilities:

  • Directly supports C16 level managers and generally supports an entire department
  • Manages day to day calendar(s) of senior management and coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls
  • Directly supports executing ICRMs people engagement priorities by coordinating site-based events in Citi’s Tampa office
  • Develops strong working relationships and a network within the Tampa office to effectively act as a site champion
  • Assists in onboarding and welcoming new ICRM hires within the office, lending support to other ICRM areas as needed
  • May prepare and review materials and correspondence for meetings
  • Assists with creation/modification of presentations, spreadsheets, and other various documents.
  • Reviewing reports and analyzing expense trends, management approvals, and event participation statistic etc.
  • Create and manage organizational charts for the team
  • Coordinates travel arrangements; prepare and distribute schedules/agendas for travel
  • Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
  • Orders supplies and process invoices through Procure to Pay system
  • Assists in ad-hoc reports special projects as needed to further the priorities of ICRM
  • Trains, coaches or guides other administrative staff when required
  • Partners with peers across ICRM, and the firm, to effectively and efficiently manage meeting requests, senior leadership visits, room reservation and site tours as needed
  • Utilizes Citi’s AI tool to simplify tasks and share best practice
  • Appropriately assess risk when business decisions are made by driving compliance with applicable laws, rules and regulations, and adhering to Citi Policies and Procedures.

Qualifications:

  • Previous office administration experience, preferably within a large and complex financial services or similar organization
  • Highly proficient in Microsoft Office Products including Outlook, Excel, and PowerPoint
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated and detail oriented
  • Ability to work onsite in Tampa 3x a week in line with Citi’s How We Work-Hybrid designation

Education:

  • Bachelor's/University degree or equivalent experience
