Job Description
As a valued colleague on our Multifamily Chief Operating Office (Front Office) team, you will perform routine and non-routine clerical and administrative functions such as sending correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to various stakeholders.
This is a non-exempt (hourly) position.
THE IMPACT YOU WILL MAKE
The Senior Executive Assistant role will offer you the flexibility to make each day your own, while working alongside people who care so that you can deliver on the following responsibilities:
- Support executives’ calendaring, meeting management, travel coordination, expense reporting and meeting notetaking.
- May assist with project planning and project management in support of the Principal (SVP), his/her direct reports, and the Multifamily Front Office when needed.
- Execute complex administrative tasks and analyses to maintain organization, communication, and performance.
- Execute activities for teams or business groups across the Multifamily division.
- Ensure collaboration with teams or business groups in achievement of divisional goals or objectives.
Qualifications
THE EXPERIENCE YOU BRING TO THE TEAM
Minimum Required Experience
- 2 years’ experience supporting senior executives in an administrative capacity.
- Experience interacting and communicating with executive-level internal and external stakeholders; ability to build and sustain productive partnerships with a broad network of executive-level support teams and other colleagues.
- A high degree of attention to detail.
- Ability to smoothly deliver on and pivot between multiple demands.
- A work style that consistently reflects a collegial, open, team mentality with customers and peers; as well as having well-balanced independence.
- Ability to deliver outstanding customer service and work in a highly collaborative environment.
- Strong influencing and negotiation skills with stakeholders at all levels of the organization and comfortable resolving conflict on behalf of the Principal.
- Strong judgment as it relates to sharing and protecting confidential information.
- Strong ability to learn company-specific and department-specific policies, procedures, and software applications.
- Microsoft Outlook calendaring and meeting coordination skills are required.
- Skilled in PowerPoint presentation development and editing.
- Familiarity with Microsoft Office applications such as Teams, OneNote and Word
Desired Experience
- Bachelor’s degree or equivalent
- Excellent writing and proofing skills are strongly preferred.
- 5 years' experience supporting senior executives in an administrative capacity.
- Prior experience planning and managing departmental projects.
