As a Senior Executive Assistant within our Securities Services team, you will be instrumental in managing complex scheduling tasks, organizing travel arrangements, and supervising administrative operations. Your adeptness at handling sensitive information with confidentiality and your robust work ethic will be vital to your success. You will collaborate closely with business management and key stakeholders, becoming an integral part of the business and gaining insight into group priorities. Your role will be crucial in ensuring adherence to Firmwide policies while maintaining a focus on business and client deliverables.
Job responsibilities
- Manage advanced diary tasks, including internal and external meetings, conference calls, and organizing events.
- Coordinate travel and entertainment, ensuring compliance with policies.
- Process expenses by collaborating with teams and enforcing policies.
- Collaborate cross-functionally with business management and key stakeholders.
- Utilize internal systems for accurate data entry and reporting.
- Oversee administrative tasks such as managing distribution lists.
- Integrate into the business by understanding group priorities.
- Partner with assistants across lines of business to provide coverage.
- Participate in PowerPoint presentations, projects, and training.
Required qualifications, capabilities, and skills
- Previous experience as an executive assistant or secretary, ideally at a senior level.
- Fluent in German and English.
- Strong written and verbal communication skills.
- Excellent time management and scheduling abilities.
- High-level technical skills and understanding of expense systems.
- Ability to work under pressure with a polished and composed manner.
- Proactive and responsible, demonstrating initiative within the role.
