The Executive Assistant role supporting the Market Head Intermediaries Western Switzerland & Americas is a pivotal position requiring an enthusiastic person, showing ownership and a can-do attitude. The Executive Assistant will provide comprehensive, high-calibre administrative and operational support, ensuring seamless day-to-day functioning across priorities.The successful candidate will support the Market Head Intermediaries Western Switzerland & Americas in driving operational efficiency, a complex agenda, travelling arrangement and leadership coordination across the Market.
This individual will serve as a pivotal point of contact with both internal and external stakeholders.
With a proactive mindset and unwavering attention to detail, the Executive Assistant will act as a trusted partner, anticipating needs, managing sensitive information with confidentiality, and contributing to enhanced executive effectiveness.
This role can be well suited for a bachelor/ master student or for a more experienced assistant, willing to work part time.

- Manage the Market Head Intermediaries Western Switzerland & Americas calendar proactively: schedule meetings, prioritise appointments, and resolve conflicts
- Organise travel arrangements, including itineraries, visa requirements if applicable, accommodations, and expense reporting
- Serve as gatekeeper by screening calls and emails, handling sensitive correspondence, and ensuring timely follow-up
- Act as liaison between headquarters and the Geneva office, ensuring alignment on policies, communications, and change initiatives
- Seamless alignment with the business management team
- Collaborate with all the key internal stakeholders, including Finance, HR, Compliance and Legal departments when required, particularly regarding documentation and approvals
- Facilitate internal governance processes: organise regional management committee meetings, track action items, and maintain meeting minutes and follow-ups
- Maintain strict confidentiality of all matters
- Bachelor’s degree in business administration, International Relations, or a related field (on going or graduated)
- A first experience in a similar role and affinity with private banking topics
- Ability to travel regularly between Zürich and Geneva and willingness to have daily internal exchanges with the other locations
- Proven ability to work effectively in an executive environment with discretion and professionalism
- Fluency in English and French; Spanish and German language skills are a strong advantage
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Organisational Excellence: Ability to multitask efficiently while maintaining accuracy and attention to detail
- Initiative & Problem-Solving: Anticipates needs and proposes solutions without constant supervision
- Communication Skills: Clear, concise, and diplomatic communicator across levels and cultures

Skills Required
- Bachelor's degree in business administration, International Relations, or related field
- Minimum of 5 years' experience in executive support or business coordination, preferably within private banking or financial services
- Fluency in English and French
- Spanish and German language skills
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
