Position Overview

The Senior Executive Assistant will provide high-level administrative support to the President and other senior executives. This role involves overseeing an Executive Assistants (EA), ensuring efficient workflow, and maintaining a high standard of service. The ideal candidate will have exceptional organizational skills, a proactive approach, and the ability to handle sensitive information with discretion.

It is a hands-on support that engages with literally every person in the Organization. The ideal candidate will possess outstanding multi-tasking abilities, communication, and teamwork as well as the ability to keep up in a fast-paced working environment. The successful candidate should be able to demonstrate previous successful/positive customer service encounters.

We are seeking an experienced and dynamic professional with a proven track record and experience as an Executive Assistant to C-Level Executives & VPs covering office management. The successful applicant will be driven and results-focused with a "can do attitude."

Key responsibilities

  • Executive Support:
    • Manage the President’s calendar, including scheduling meetings, appointments, and travel arrangements.
    • Prepare and edit correspondence, communications, presentations, and other documents.
    • Conduct research, compile data, and prepare reports for consideration and presentation by executives.
  • Project Management:
    • Assist in the planning and execution of company events, meetings, and conferences.
    • Coordinate cross-departmental projects and initiatives, ensuring timely completion and alignment with company goals.
    • Track and report on project milestones and deliverables.
    • Cascade timely communication to ensure seamless coordination across departments, especially for cross-departmental projects or meetings.

Job Requirements

  • Education: Bachelor’s degree in business administration, Communications, or a related field.
  • Experience: Minimum of 7 years of experience in an executive assistant role, with at least 3 years in a supervisory capacity.
  • Skills:
    • Exceptional organizational and time-management skills.
    • Strong written and verbal communication skills.
    • Proficiency in Microsoft Office Suite and other relevant software.
    • Ability to handle confidential information with discretion.
    • Strong leadership and team management abilities.
  • Experience in working with diverse and multicultural stakeholders across time zones
  • Excellent communication skills written/grammar/spelling, verbal (formal and informal), listening and talking
  • Experience with Microsoft tools, including the ability to schedule, track, report and follow-up using these tools
  • Experience with Outlook calendaring is required
  • Experience with SharePoint is a plus
  • Experience with a Global Travel Platform is a plus
  • Creative, flexible and solutions oriented
