[What the role is]

This is a 2-year contract for an Senior Executive, Acad Admin & Operations position in the School of Humanities & Interdisciplinary Studies.

[What you will be working on]

Your responsibilities will include, but are not limited to, the following:

Time-Tabling & Resource Planning

  • Manage the planning, development and administration of academic timetables, class schedules, student groupings and scheduling arrangements to optimise learning delivery, teaching capacity, and the utilisation of facilities and resources.

  • Support teaching allocation, workload management and resource planning by projecting manpower, specialised facility and space requirements to meet academic delivery needs.

  • Ensure compliance with institutional timetabling policies, procedures and governance requirements while balancing operational priorities and stakeholder needs.

  • Serve as the subject matter expert for time-tabling systems and processes, partner stakeholders to drive process improvements, system enhancements and integration with student administration platforms.

Academic & Operations Support

  • Provide operational support for academic quality initiatives, accreditation exercises and audit requirements including the maintenance of documentation, records and reports necessary to support quality assurance and continuous improvement efforts.

  • Maintain the accuracy, integrity and timeliness of academic records, module information and student data across relevant systems, ensuring compliance with data governance and reporting requirements.

  • Act as a key liaison for module administration and learning management systems (e.g. Brightspace), supporting module setup, user administration and system-related processes.

  • Partner academic staff and stakeholders to enhance system adoption, user experience and digital learning processes.

  • Support the implementation, review and continuous enhancement of academic administration processes by leveraging technology, data analytics and best practices to strengthen operational effectiveness and service delivery.

  • Perform other administrative duties as assigned

  • Relevant experience in academic administration, timetabling, scheduling, operations management or a related field will be an advantage

  • Strong organisational skills with the ability to manage multiple priorities effectively.

  • Meticulous and detail-oriented, with strong analytical, problem-solving and critical-thinking skills

  • Proficient in data analysis, reporting and digital tools such as Microsoft Excel, Power Automate and Power BI

  • Ability to work independently and collaborate effectively across departments and stakeholder groups.

  • Strong communication, interpersonal and stakeholder management skills, with the ability to engage and influence diverse stakeholders.

  • Demonstrates initiative, adaptability and a continuous improvement mindset.

Skills Required
