The department

This position maintains an electronic Intellectual Property (IP) docketing system to track deadlines and manage the company’s IP assets. The primary focus is precise data entry, which drives the system's automated deadlines. The role requires applying specific knowledge of critical timelines—such as expiry dates and priority year calculations—to audit and verify that these system-generated dates are correct. Additionally, the position oversees patent annuities in cooperation with a service provider to ensure accuracy. Finally, it processes incoming correspondence and e-documents in the global records system, ensuring they are available for Patent Attorney action.

Knows and applies the fundamental concepts, practices and procedures of the particular field of specialization.  Requires on-the-job training or formalized education in specific areas. Requires in-depth evaluation, originality or ingenuity.  Work is varied, unique and substantially more complex in nature. Significant level of responsibility and independent work.  May serve as a peer mentor and point of escalation for new or less experienced members of the team and assists the Head of Data & Annuities by providing a lead presence at a Site or within a subject matter area (e.g. annuities). Heavy interaction with internal customers, departments and local site teams.

The role
  • Act as the primary subject matter expert for all IP docketing administration, providing accurate and current information within the IP management database through routine and ad-hoc reporting.

  • Oversee and maintain the IP management database, including proactive reporting on deadlines, expirations, and other critical IP matters, and manage patent annuities in collaboration with internal and external partners.

  • Ensure data integrity by conducting internal audits of new records, verifying expiration and annuity deadlines for granted cases, and resolving any data discrepancies in the IP management system and global electronic records.

  • Stay current with patent rules and procedural laws, providing summaries and reports on relevant updates.

  • Contribute to process improvement initiatives for Group Patents or Global Patent Operations, including the implementation of new systems and tools.

  • Support onboarding and training for new team members and stakeholders on IP docketing practices and systems.

Who you are
  • Education: Bachelor's degree, Commercial Diploma (EU), or equivalent, with a Patentanwaltsfachangestellte or CIPA education (EU) preferred.

  • Experience: At least 5 years as a paralegal, or formalities officer, with leadership experience a plus.

  • Expertise: In-depth knowledge of substantive and procedural IP law, including patent and trademark office rules and procedures, and hands-on experience with online Patent Office portals (e.g., USPTO PAIR, Espacenet, Online Filing 2.0, EPO Mailbox).

  • Skills: Excellent verbal and written English communication, strong managerial and interpersonal skills, and the ability to work proactively, independently, and globally in a virtual team with excellent computer proficiency.

This position is limited to 18 months.
