The Senior Corporate Meeting Planner role is part of the Corporate Events, Travel and Media team located in New York, NY.
This individual will collaborate with our business lines on meeting and event activities for clients and prospective clients. This includes coordination of client/investor conferences, smaller team events, departmental employee events and larger-scale client entertainment events.
Responsibilities:
- Responsible for planning and execution of meetings and conferences. Including but not limited to the following:
- Manage vendor relationships and communication involving site selection, contract negotiations, on-site logistics execution, fiscal management.
- Knowledgeable and adept to work in a client management/software for attendees including communication of data to all groups and historical tracking. Ability to learn and navigate database systems (MeetMax is our current system).
- Communication with conference attendees regarding all aspects of the conferences and events.
- Generate creative ideas to support objectives of meetings, including locations, entertainment, event format, etc.
- Navigate and troubleshoot issues that arise in the planning process of events as well as crisis management on-site.
- Meet the goals and team objectives for each event.
- Managing a timeline and project manage expectations of stakeholders.
- Clearly define target audiences and advance our brand equity with them. Collaborate with business lines to define audience needs and stakeholder objectives.
- Budget management, financial tracking and contract negotiations.
- Assess communications needs, create new materials, and update existing materials as necessary. Partner with marketing to best execute communications.
- Monitor and be knowledgeable about the competition and industry events/trends.
- Complete special projects as assigned.
- The ability to work with multiple stakeholders across the firm; including a close working relationship with the Corporate Access team.
- Partner with Compliance to ensure conference-related collateral, invitations, agendas, presentations, signage, websites, emails, social media content and other communications receive appropriate review and approval before distribution.
- Maintain awareness of applicable firm policies, regulatory requirements and approval processes related to client events, entertainment, sponsorships and communications.
- Maintain documentation and version control for compliance approvals and required event records.
- Escalate potential compliance, reputational or contractual risks to appropriate internal stakeholders.
Qualifications:
- 5 - 8 years of meeting coordination experience.
- 2+ years of management experience.
- BA or BS degree preferred. Equivalent applicable experience may be considered.
- Certified Meeting Professional (CMP) certification preferred.
- Experience working for a financial services firm a plus.
- The ability to challenge the status quo in a positive, respectful manner is required
- Strong organizational and communication skills required.
- Must possess a positive “can do” attitude and exhibit a fierce advocacy for client needs and perspectives.
- Excellent technology and software skills. Microsoft Office (Excel, PowerPoint), conference software applications (MeetMax), etc.
- Ability to mentor and manage direct reports (if applicable), teammates and relationships

The anticipated starting salary range for individuals expressing interest in this position is $140,000 - $178,000 per year. Placement within this range is dependent upon level of experience, location and other factors. This position is eligible for annual incentive compensation which will be a part of the total compensation. Total compensation for this position will be competitive with the market.
