The Contract Senior Bids and Proposals Coordinator supports the Bids & Proposals team by coordinating the logistics of assembling the necessary language and forms from multiple stakeholders for successful bids and/or contracts, assisting in the development and proofing of documents, as well as researching and tracking opportunities.
This is a contract position at 40 hours per week.
Responsibilities:

Monitor and track relevant bid opportunities via shared inboxes and active searching through procurement sites and portals

Review and summarize bid request documents (RFPs, RFQs etc.) to share pertinent information with the wider team

Support Bids & Proposal Managers with the entry and editing of boilerplate language and the integration of this boilerplate into draft documents (includes formatting and proofing)

Coordinate schedules and approvals for actions supporting bid opportunities

Maintain open communication with project leaders and stakeholders by sending reminders and sharing updates as needed

Maintain shared documentation with relevant company and department information to utilize in the completion of forms and submission sites

Regularly update shared project checklists and trackers to ensure internal visibility and the adherence to deadlines

Manage the printing, shipping, and delivery process for bids with the support of Brooklyn-based employees, print vendors, and courier services

Use problem solving skills to diagnose, troubleshoot, and resolve issues in order to ensure timely completion of bids

Support maintenance of library of boilerplate language and past responses
Requirements:

BA/BS Degree
-
3+ years’ work experience in a corporate environment

Problem solving skills and detail orientation

Technical savvy and experience with Google Workspace, Microsoft Office, Smartsheet and Adobe Software

Experience editing and assembling text documents
Compensation: The hourly rate range for this role is $35.00 - $40.00.
