The role

To provide high-quality administrative and technical support to Financial Advisers, enabling the delivery of compliant, efficient and client-focused financial planning advice. The role holder will act as a key point of contact within the advice process, ensuring all client servicing activities are completed accurately, within regulatory requirements, and in line with Titan Wealth’s procedures and service standards.

Working closely with advisers, paraplanners and operational teams, the Senior Client Support Administrator will manage complex client cases, oversee new business submissions, support ongoing client reviews, and help ensure an exceptional client experience from initial enquiry through to implementation and ongoing servicing. The role requires a strong understanding of financial products, FCA regulations and industry best practice, as well as the ability to prioritise workloads, mentor junior team members and contribute to continuous improvement initiatives across the business.

The successful candidate will play a vital role in maintaining the smooth operation of the advice process, building strong relationships with clients and colleagues, and supporting Titan Wealth's commitment to delivering outstanding service and positive client outcomes.

Responsibilities


  • Prepare client review packs and valuation reports. 
  • Ensure client and policy information is accurate and up to date within back-office systems. 
  • Gather and maintain information from product providers. 
  • Update client plans, contributions, withdrawals and transfer information. 
  • Produce client correspondence and reports as required. 
  • Create and maintain accurate client records and documentation. 
  • Support advisers with meeting preparation and follow-up activity. 
  • Administration & New Business Processing 

  • Process new business applications efficiently and accurately. 
  • Liaise regularly with product providers regarding client cases. 
  • Monitor outstanding requirements and proactively chase information. 
  • Prepare cases for submission and ensure all required documentation is complete. 
  • Assist with plan information validation and reconciliation activities. 
  • Manage day-to-day client and provider enquiries via telephone and email. 
  • Client Service & Compliance 

  • Deliver a high standard of customer service at all times. 
  • Ensure agreed client service standards are met. 
  • Maintain compliance with FCA regulations and internal procedures. 
  • Support Treating Customers Fairly (TCF) and Consumer Duty requirements. 
  • Participate in ongoing training and professional development. 
  • Contribute ideas to improve processes and client outcomes

Critical Skills and Experience required

  • Essential - Previous Client Support / IFA Administration experience within a Financial Planning or Wealth Management firm. 
  • Essential – Proficiency with Intelligent Office 
  • Experience supporting Financial Planners directly. 
  • Strong interpersonal and relationship-building skills. 
  • Confidence communicating with high-net-worth clients and their professional introducers. 
  • The ability to work proactively and anticipate adviser requirements. 
  • Excellent organisation and attention to detail. 
  • A collaborative and team-oriented approach. 

FCA requirements TCF/RCR

  • Adhere to all FCA regulations including consumer duty.
  • To highlight to your line manager procedures & processes that do not adhere to the principles of TCF/RCR and to put forward suggestions that improve the TCF/RCR practices within the department.
