This role plays an important part in supporting both the firm's financial operations and the Tax Services team, ensuring billing processes are handled accurately and efficiently while helping the tax team meet critical deadlines.
A Role with Broad Responsibilities
The Senior Billing & Tax Professional Specialist will be responsible for managing the firm's monthly billing process based on billing instructions prepared by partners. This includes processing invoices and adjustments, producing billing and collection reports, monitoring accounts receivable, responding to client billing inquiries, and coordinating with partners and the corporate finance team.
In addition, the role will support the Tax Services department through administrative and tax processing responsibilities, including tax return assembly, e-filing, and electronic filing of tax data received from clients.
The ideal candidate is an energetic, self-directed professional with extensive billing experience in a mid-to-large-sized CPA firm and tax administrative experience during tax season. This individual should have a strong team spirit, the ability to work effectively with a variety of personalities, and the ability to remain calm and focused during stressful periods.
Primary Responsibilities
- Process and send monthly billing based on billing instructions prepared by partners.
- Produce required billing and accounts receivable reports.
- Post daily deposits and communicate with partners and clients regarding billing inquiries.
- Process write-offs, billing adjustments, and transfers.
- Coordinate with Cerity Partners' corporate finance/accounting team.
- Assemble tax returns, including downloading tax documents through DocuSign or SafeSend and Lacerte, editing, and electronically filing returns.
- Perform tax processing functions across multiple software systems.
- Scan and photocopy tax returns and documents.
- Prepare and mail tax organizers during tax season.
- Assemble and mail client tax return copies.
- Collaborate with the firm's other tax and administrative personnel.
- Work overtime during tax deadlines, including some weekends, as needed.
- Maintain strict confidentiality and exercise sound judgment when handling client, partner, and firm financial information.
- Support other administrative tasks and responsibilities as needed.
Required Qualifications:
- Minimum of 6–7 years of experience with primary responsibility for billing in a mid-to-large-sized CPA firm, along with tax administrative experience.
- Experience working in a paperless office environment.
- Working knowledge of Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Proficiency with Adobe Acrobat.
- Lacerte, CCH Workstream, and SafeSend experience preferred.
- Strong organizational skills with a focus on efficiency and accuracy.
- Ability to manage multiple tasks and priorities simultaneously.
- Proactive, flexible, and willing to step in wherever needed to support the team.
- Strong team spirit and ability to work effectively with individuals with varying personalities and working styles.
- Ability to remain calm, focused, and productive during high-pressure periods and tax deadlines.

Compensation Range
$120,000 - $135,000
