Role Overview

The Senior Billing Manager is responsible for leading and transforming enterprise-wide billing operations across multiple lines of business, including Depot, Tank Wash, Transportation, and Maintenance, supporting approximately 196 locations.

This role operates at both a strategic and operational level, ensuring alignment of billing systems, processes, and financial controls across a complex, multi-entity environment. The position plays a critical role in revenue integrity, process standardization, and scalability, while partnering cross-functionally with Finance, Pricing, Sales, Operations, Accounts Receivable, and IT.

This role retains full ownership of core billing operations while driving enterprise leadership, transformation, and organizational design.

Location: This is a hybrid position based out of our Tampa, FL corporate headquarters.

Pay Range: $100,000 - $120,000, plus annual performance bonus

Core Operational Leadership

  • Oversee month-end billing close across all locations, ensuring accuracy and timeliness
  • Manage revenue accrual processes, including sub-ledger reconciliation and supporting documentation
  • Review and audit invoices, work orders, and billing outputs to ensure accuracy and compliance
  • Serve as escalation point for billing-related issues, ensuring timely resolution and customer satisfaction
  • Lead weekly team meetings to monitor progress, identify risks, and resolve issues
  • Oversee billing training for new hires, acquisitions, and ongoing staff development
  • Develop and maintain Standard Operating Procedures (SOPs) to ensure consistency across all locations

Enterprise Billing Oversight

  • Provide oversight of end-to-end billing operations across all lines of business
  • Ensure consistency, scalability, and alignment of billing processes across systems and locations
  • Establish standards and controls to support accurate and timely billing execution

Strategic Leadership & Organizational Design

  • Drive the strategic direction of the billing function to support company growth and operational scalability
  • Evaluate and recommend organizational structure enhancements to align with business complexity and volume
  • Lead and develop a multi-level team, establishing clear accountability, performance expectations, and career development

Revenue Integrity & Risk Management

  • Ensure revenue accuracy and completeness through strong billing controls and validation processes
  • Identify and mitigate risks related to pricing discrepancies, system gaps, and operational inefficiencies
  • Partner with internal teams to address root causes of billing errors and prevent recurrence

KPI Ownership & Executive Reporting

  • Own and develop key performance indicators (KPIs), including Billing Lag and Billing Accuracy
  • Analyze performance trends and drivers, providing actionable insights and recommendations
  • Present results, root cause analysis, and improvement plans to executive leadership, including CFO and Corporate Controller

Cross-Functional Leadership

  • Partner with Pricing, Sales, Operations, Accounts Receivable, Finance, and IT to ensure alignment between upstream processes and billing execution
  • Drive accountability across functions to reduce billing issues originating outside of billing
  • Support enterprise initiatives related to pricing implementation, customer onboarding, and operational changes

Systems Optimization & Process Transformation

  • Lead system alignment and optimization across multiple billing platforms
  • Drive automation and reduce reliance on manual workarounds
  • Standardize processes across locations to improve efficiency and data integrity
  • Support system enhancements and integrations to enable scalable operations

Minimum Qualifications

  • Proven ability to lead and scale billing or revenue operations in a complex, multi-entity environment
  • Strong background in process improvement, system optimization, and operational transformation
  • Demonstrated experience working cross-functionally with Finance, Sales, Operations, and IT
  • Experience developing and presenting KPIs and operational insights to executive leadership
  • Strong leadership skills with the ability to manage and develop multi-level teams
  • Excellent analytical, problem-solving, and communication skills
  • Experience in Trinium, Depot Software, Entendo, or Great Plains, a plus
  • Bachelor’s degree in Accounting, Finance, Business Management, or related field preferred
  • Ability to manage multiple priorities in a fast-paced, evolving environment
