The Opportunity:
We are seeking a highly organized and detail-oriented Senior Associate, Wholesale Operations. You will report to our Wholesale Operations Manager and will be responsible for supporting the operational needs of our growing wholesale business. You will coordinate order management, retailer communication, and troubleshooting. The Senior Associate will work closely with internal teams and external retail partners to ensure seamless execution, accurate data management, and adherence to partner requirements. This role will play a critical part in supporting operational efficiency, resolving issues, and maintaining strong relationships with our retail partners.

The ideal candidate is a highly organized, process-driven individual with a background in wholesale operations or supply chain management. They have a talent for navigating Trading Partner Routing Guides and summarizing their key points for internal and external partner digestion. They can manage multiple priorities, have strong attention to detail, and thrive in dynamic environments. This person is an excellent communicator, comfortable working cross-functionally, and passionate about creating operational excellence to support retail partnerships. They bring a proactive mindset, strong problem-solving skills, and a commitment to helping Caraway deliver a seamless experience for our partners and customers alike. 

Responsibilities:

Order Management & Fulfillment

  • Review and process manual and automatic wholesale orders in Fulfil, ensuring accuracy and compliance with partner requirements
  • Monitor stock availability, communicate adjustments or delays to retail partners, and release orders to the 3PL with any special instructions and coordination
  • Support the outbound logistics team in our Shopify B2B and Trade order workflows, as needed
  • Support timely resolution of order-related issues, including ASN and invoice transmission errors
  • Partner with LTL/FTL carrier providers and coordinate pickup of shipments
  • Track and report on operational expenses, like fulfillment cost and LTL / FTL shipping cost

Retailer Support & Listing Setup

  • Assist with new item and listing setups, including supporting or completing retailer product templates, gathering product information and partnering with our Retail team on all required needs
  • Maintain accurate SKU listings in Fulfil and with third-party EDI providers
  • Respond to retailer inquiries about product specifications, availability, pricing, and compliance

Operational Support & Troubleshooting

  • In partnership with our Systems team, assist in resolving inventory feed issues, routing guide discrepancies, and EDI errors to ensure operational accuracy
  • Help review and dispute chargebacks and communicate packaging or product changes to retail partners

Knowledge, skills, and abilities:

  • 3+ years of experience in wholesale operations, supply chain, or a related field, preferably in ecommerce or consumer products
  • 1+ years of experience working with 3PL partners
  • 1+ years of experience working with retailer compliance and/or routing guides
  • Familiarity with order management systems (e.g., Fulfil.io), EDI platforms, and retailer portals
  • Strong organizational and problem-solving skills with exceptional attention to detail and accuracy
  • Proficiency in Excel, including the ability to work with formulas, pivot tables, and data analysis
  • Robust communication and relationship-building skills, with the ability to collaborate across internal teams and external partners
  • Comfortable managing multiple priorities in a fast-paced, deadline-driven environment
  • Experience with Shopify B2B and ERP systems
  • A proactive, customer-first mindset, with a focus on delivering high-quality results and building trust with partners

The anticipated base salary range for this role ​is $70,000 - $85,000 - Final compensation will depend on a variety of factors determining the base pay at offer, including but not limited to: skills, qualifications, experience. This range provides the opportunity to progress as you grow and develop within a role.
