Job Summary
Barings is seeking a senior level Executive Assistant to support the Head of North American Insurance & Intermediary and Head of North American Institutional. This position is located in Charlotte and reports to Ilean Coyle.
Primary Responsibilities
The candidate selected will provide reliable, proactive and confidential executive administrative support to the Head of North American Insurance & Intermediary and Head of North American Institutional. Position is responsible for administrative support duties including, but not limited to:
- Managing leader email inbox, triaging and prioritizing tasks, and handling inquiries where appropriate
- Calendar management (coordinating with other assistants to schedule meetings, resolve conflicts, reserve meeting space, ensure technology is set up)
- Coordinate travel planning and handle expense management for complex and worldwide travel
- Responsible for meeting management, including preparing agendas, taking notes, and driving action items to completion
- Coordinate events and team gatherings
- Managing documentation, data entry, and other administrative tasks as needed
- Other special projects as required
Qualifications
- Strong executive presence with experience supporting executives in a highly professional and fast-paced environment
- Advanced skillset utilizing Microsoft Office applications (Word, Excel, PowerPoint, Teams, SharePoint and Outlook) and Adobe Acrobat
- Ability to organize tasks and assign order of priority for a leader
- Proven ability to serve as a trusted partner, maintain confidentiality, and deliver upward feedback to senior leaders
- Strong problem-solving skills and ability to make decisions independently in line with leader’s style and preferences
- Experience booking complex domestic and international travel preferred
- Takes initiative in problem solving and ownership of tasks
- High sense of urgency
- Strong verbal and written communication skills
- College degree is preferred; minimum Associates’ degree or equivalent
