Job Description

MAXISIQ is seeking a highly experienced Senior Administrative Support Specialist to provide comprehensive support to senior management and project teams within the U.S. Army Rapid Capabilities and Critical Technologies Office (RCCTO). This role is crucial to ensuring efficient administrative operations, managing complex schedules, and supporting project management efforts. The ideal candidate will have extensive experience in government or defense environments, exceptional organizational skills, and the ability to handle multiple tasks in a fast-paced environment. This is a full-time position located on Fort Belvoir, VA with work anticipated mid December 2024 upon award. 

Duties involved with this role:

  • Provide high-level administrative support to senior management, including managing complex calendars, scheduling meetings, and organizing travel arrangements for leadership and project teams.
  • Prepare, edit, and maintain a wide range of documents, including reports, presentations, and correspondence, ensuring accuracy and proper formatting. Support the organization and management of important documentation for project teams and leadership. 
  • Serve as the primary point of contact for internal and external communications, ensuring clear and efficient communication across departments and project offices. 
  • Coordinate and prepare materials for meetings, including scheduling, agenda development, and ensuring all necessary resources are available for attendees. 
  • Maintain and support data systems, ensuring accurate record-keeping and access to critical information for project teams and leadership.
  • Assist project teams with administrative tasks related to project management, including tracking project timelines, budgets, deliverables, and providing updates to senior management.
  • Lead the logistical arrangements for events, workshops, and training sessions, including venue selection, catering, and materials preparation.
  • Assist with financial tasks, including processing invoices, tracking expenses, and preparing detailed budget reports for review by leadership.

Qualifications

Clearance Requirement: Active or current Secret level clearance minimum

Education: Associate's degree or above in Business Administration or a related field; Bachelor's degree preferred.

Experience: 8-12 years of administrative support experience, preferably in a government or defense-related environment that incorporates

  • Proven experience supporting senior management and complex project teams, including experience managing calendars, travel, and meetings in high-level settings.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management software and database management. 
  • Excellent verbal and written communication skills, with the ability to interact professionally with senior leadership, external stakeholders, and various teams.
  • Strong organizational and time management skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a dynamic environment.
  • Attention to detail, particularly in document management and data tracking. Ability to handle sensitive information with confidentiality and professionalism.
  • Familiarity with program management, logistics processes, and government project management procedures is desired.
