General Summary:

The Senior Administrative Assistant provides high-level administrative and operational support to leaders within Commercial Manufacturing & Technical Operations (CMTO). The role enables efficient execution of CMTO priorities by managing complex logistics, supporting cross-functional coordination, and ensuring seamless day-to-day operations. This position plays a critical role in enabling leadership effectiveness, driving organizational alignment, and supporting key business priorities across CMTO.

Key Duties and Responsibilities:

  • Manages complex calendars for CMTO leaders, including prioritization of meetings aligned to business criticality across manufacturing, supply chain, and technical operations
  • Coordinates internal and external meetings, including governance forums, offsites, and cross-functional sessions; manages logistics, materials, and real-time support
  • Supports CMTO governance and reporting by aggregating inputs, tracking deliverables, and preparing leadership-ready materials
  • Prepares and edits presentations and communications for senior leaders, ensuring alignment to CMTO priorities and executive standards
  • Manages travel arrangements, expense reporting, and coordination of team events and leadership offsites
  • Partners across CMTO and support functions (HR, Finance, Procurement) to ensure seamless execution of administrative and operational processes
  • Processes purchase orders, invoices, and vendor agreements in accordance with Vertex policies
  • Supports onboarding of new team members and ensures consistent, high-quality onboarding experience within CMTO
  • Maintains strong relationships with site operations, facilities, and vendors to ensure efficient office operations
  • Handles sensitive and confidential information with discretion, particularly related to strategic CMTO initiatives

Knowledge and Skills:

  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
  • Strong organizational and time management skills with ability to manage competing priorities
  • Experience supporting complex, cross-functional teams in a fast-paced environment
  • High attention to detail and commitment to quality
  • Strong communication skills and executive presence
  • Ability to operate with discretion and maintain confidentiality
  • Familiarity with systems such as Concur, SharePoint, and procurement tools is preferred

Education and Experience:

  • Typically requires 2+ years of administrative experience or the equivalent combination of education and experience, preferably supporting senior leaders or complex teams.
  • Typically requires high school or secondary school education.

Pay Range:

$39 - $58

Disclosure Statement:

The range provided is based on what we believe is a reasonable estimate for the base salary pay range for this job at the time of posting. This role is eligible for an annual bonus and annual equity awards. Some roles may also be eligible for overtime pay, in accordance with federal and state requirements. Actual base salary pay will be based on a number of factors, including skills, competencies, experience, and other job-related factors permitted by law.
